The Payroll Tax Accountant manages multi-state payroll tax compliance, including registrations, filings, deposits, reconciliations, and documentation. This role maintains payroll system configurations (state IDs, deposit frequencies, filing calendars, TPA authorizations) and partners across HR, Payroll, Finance, and state agencies to ensure timely, accurate operations.
Responsibilities:
- Register and maintain state income tax (SIT) and state unemployment insurance (SUI) accounts across multiple jurisdictions.
- Configure and update payroll systems (e.g., UKG, ADP, Workday) with state account IDs, deposit requirements, and filing schedules.
- Assign and manage TPA authorizations where applicable.
- Prepare, file, and reconcile payroll taxes (SIT, SUI, FUTA, local taxes); ensure timely deposits.
- Maintain accurate, audit-ready records of registrations, credentials, and filings.
- Monitor changes in payroll tax regulations; update procedures and calendars accordingly.
- Identify and recommend improvements to payroll tax software, processes, and controls.
- Collaborate with HR, Payroll, Finance, and external agencies to resolve tax issues.
- Perform other duties as assigned.
Qualifications:
- Bachelor's degree in Accounting, Business Administration, Human Resources, or related field.
- 3-5 years of payroll tax experience; multi-state preferred.
- Advanced proficiency in Microsoft Excel; experience with enterprise payroll systems.
- Strong analytical skills; exceptional attention to detail and organization.
- Knowledge of payroll compliance standards and internal control frameworks.
