Job Overview
The A&G Administrator provides essential administrative, human resources, payroll, and accounting support across the resort. This role serves as a key resource to property leadership and the home office, helping ensure accurate employee records, timely payroll, effective HR administration, sound financial processes, and compliance with company policies and applicable regulations.
The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced, seasonal hospitality environment. This position requires a high level of confidentiality, strong follow-through, excellent communication skills, and a genuine commitment to providing exceptional service to both employees and operational leaders.
Key Responsibilities
Human Resources & Employee Administration
- Coordinate the employee lifecycle, including onboarding, transfers, promotions, and offboarding.
- Complete and maintain new-hire documentation, I-9 verification, background checks, employee files, and system access.
- Maintain accurate and confidential personnel records in the HRIS and applicable physical files.
- Support recruiting efforts for seasonal, hourly, and management positions, including job postings, interview coordination, candidate communication, and hiring documentation.
- Assist with benefits administration, including eligibility tracking, enrollment support, employee communications, and vendor coordination.
- Monitor timekeeping, PTO, leaves of absence, and attendance in accordance with company policies and applicable state and federal requirements.
- Support consistent application of HR policies, employee handbook requirements, acknowledgements, and compliance documentation.
- Assist with employee relations documentation, disciplinary records, and performance review coordination.
- Coordinate employee recognition initiatives, staff events, and other employee engagement activities.
- Serve as a responsive point of contact for employee questions and provide a professional, service-focused experience.
Payroll & Accounting Support
- Coordinate payroll changes, including new hires, terminations, promotions, pay-rate changes, deductions, and other employee updates.
- Review payroll information for accuracy and completeness and assist with payroll reconciliations and labor reporting.
- Support accounts receivable activities, including invoice preparation, collections, and review of supporting documentation such as guest folios, banquet checks, and consumption sheets.
- Support accounts payable activities, including invoice entry, vendor statement reconciliation, payment processing, and review of supporting documentation such as W9's.
- Assist with general ledger entries, account reconciliations, and other accounting activities.
- Support month-end close processes, financial reporting, audits, and compliance requirements across multiple locations.
- Assist with year-end processes, including W-2s, 1099s, benefits reporting, and related reconciliations.
- Help maintain accurate payroll, accounting, and employee data across multiple systems and entities.
Administrative & Cross-Functional Support
- Serve as a liaison between property leadership, home office HR and Finance teams, payroll providers, benefits vendors, and other business partners.
- Maintain calendars, deadlines, reporting schedules, and compliance tracking for multiple resort locations.
- Support HRIS, payroll, and accounting system implementations, upgrades, and data integrity initiatives.
- Assist with labor management, compliance, process improvement, and other home office initiatives.
- Establish and maintain consistent administrative processes, communication, and documentation standards across properties.
- Participate in operational and administrative tasks as business needs warrant, particularly during peak seasons, payroll cycles, audits, and other high-volume periods.
- Provide additional administrative support and special project assistance as needed.
Qualifications & Experience
- 2–4 years of experience in Human Resources, Payroll, Accounting, Administration, or a related hybrid role; hospitality or multi-location experience preferred.
- Associate’s or Bachelor’s degree in Human Resources, Accounting, Business Administration, Hospitality, or a related field preferred. Equivalent relevant experience will be considered.
- Working knowledge of payroll processes, timekeeping systems, and basic accounting principles.
- Experience working with HRIS and payroll systems; ADP or similar platforms strongly preferred.
- Strong understanding of employee records, payroll administration, and HR processes.
- Ability to handle sensitive and confidential information with discretion and professionalism.
- Strong proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
Preferred Experience
- Experience supporting multi-entity payroll and accounting structures.
- Experience in a hotel, resort, restaurant, or other service-driven environment.
- Knowledge of wage-and-hour requirements, tip reporting, seasonal employment, and hospitality payroll practices.
- Experience supporting audits, labor reporting, compliance reviews, or financial close processes.
- Experience working with multiple properties, locations, or legal entities.

- This position may occasionally require extended hours or schedule flexibility based on business needs.
