This is an exciting opportunity to play a vital role in supporting the mission, operations, and long-term success of the Kitsap County Parks Department. As a key administrative and professional contributor, this position ensures that contracts, public records, and departmental systems are managed with precision, accountability, and transparency. In this role, you will be at the center of cross-functional collaboration, working closely with finance, programs, leadership, and external partners. Your work will ensure compliance with state and county requirements, while also enabling the Parks programs to operate smoothly and efficiently.
As an Office Support Specialist in Parks, you will:
Lead departmental contract administration, including preparation, routing, tracking, renewals, amendments, and expirations, ensuring compliance with County and State requirements.
Oversee contract billing schedules, insurance certificates, prevailing wage requirements, and intent documentation, maintaining accurate and audit-ready records.
Manage public records retention and disclosure processes for the Parks Office in accordance with Washington State retention laws, coordinating closely with the County Clerk’s Office on Public Records Requests.
Ensure accurate financial coordination by working with the Parks finance team on contract funding allocations, accounts receivable, accounts payable, and purchase orders.
Navigate e-Contracts and Workday systems to support contract lifecycle management, documentation, and departmental reporting.
Maintain a highly organized, accessible, and compliant filing and records management system for the department.
Provide comprehensive administrative support to Parks programs and staff, including meeting coordination, agenda preparation, note-taking, and advisory board support.
Direct daily administrative operations such as phone and email triage, office supply management, and customer service support for partners, renters, and the general public.
Support grant-related administrative tasks and general departmental initiatives as needed, adapting to evolving priorities.
Demonstrate professionalism, accountability, and pride in work performance while contributing positively to a collaborative, team-oriented environment.
What you bring:
Professional Experience:
At least two (2) years of administrative support experience, demonstrating increasing responsibility in records management, contract coordination, and customer service.
- Related education demonstrating required knowledge, skills, and abilities to perform the job may substitute for up to six months of experience.
Technical / Industry Background:
Strong proficiency in Microsoft Office Suite and general office technologies, with experience using enterprise systems such as Workday and e-Contracts preferred.
Comfortable working with databases, document management systems, and telecommunication tools.
Specialized Expertise:
Working knowledge of contract management practices, public records retention, and administrative support for grants.
Experience coordinating public disclosure requests and maintaining compliance with Washington State records retention requirements is highly valued.
Communication / Interpersonal Skills:
Exceptional written and verbal communication skills, including proofreading, grammar, and professional correspondence.
Strong customer service orientation with the ability to communicate effectively with staff, leadership, partners, event hosts, and the public.
Proven ability to work independently, manage competing priorities, troubleshoot issues, and remain calm under pressure.
Additional Preferred Qualifications:
Highly organized, detail-oriented, and structured, with strong time management and multitasking abilities.
