Primary Purpose:
Follow established procedures to maintain accounting records and process accounts payables according to standard accounting procedures.
Maintain employee travel records and facilitate the reimbursement process.
Qualifications:
Education/Certification
High school diploma or GED
Some college preferred
Special Knowledge/Skills
Knowledge of basic accounting procedures
Ability to develop spreadsheets, data bases, and word processing documents
Proficient in the use of a calculator
Ability to communicate effectively
Experience
One year accounting experience at clerical level
Major Responsibilities and Duties:
• Receive and process for payment all accounts payable invoices, requisitions, purchase orders, receipts, and vendor information
• Match invoices with proper purchase orders; ensure completeness and accuracy of invoices and shipments
• Detect and resolve problems with incorrect orders, invoices, and shipments
• Contact district personnel and vendors to correct or obtain information needed
• Confirm balances in accounts for all requisitions
• Prepare and distribute paid invoices at designated times
• Input accounting data into automated accounting system
• File office copies of checks, requisitions, invoices, and purchase orders
• Keep records up to date
• Maintain vendor files and set up new accounts when changes occur
• Communicate current status of invoices to district staff
• Prepare correspondence
• Coordinate district credit card distribution and reconciliation
• Maintain employee travel records
• Process and distribute employee travel reimbursement requests
• Keep informed of and comply with state and district policies and regulations concerning primary job functions
• Demonstrate regular and prompt attendance
• Other duties as assigned
