Overview
The Administrative Assistant supports the Victim Witness Assistance Program within the United States Attorney’s Office (USAO), Eastern District of Louisiana (EDLA), providing administrative and case-support services to Fact Witnesses throughout Grand Jury proceedings, hearings, and trials. The position requires a practical working knowledge of applicable laws, regulations, and Department of Justice requirements to support specialized witness management activities, including complex scheduling, witness travel logistics, financial documentation, and trial preparation support. The period of performance consists of one base year with three one-year option periods.
Key Responsibilities
- Maintain and track Fact Witness subpoenas for Grand Jury proceedings, hearings, and trials, including calendaring and coordination with Assistant U.S. Attorneys (AUSAs) and legal support staff.
- Meet with Fact Witnesses to complete required paperwork and collect receipts or supporting documentation for reimbursement.
- Monitor the weekly Grand Jury schedule to ensure all subpoenas are received, logged, and processed.
- Communicate regularly with Criminal Division AUSAs and support staff to obtain current information on case status, witness needs, and upcoming court events.
- Scan, file, and process Fact Witness vouchers while maintaining accurate records and organized filing systems.
- Troubleshoot travel voucher issues and coordinate with appropriate staff to resolve payment or processing concerns.
- Secure travel and lodging reservations for Fact Witnesses at government rates when available and communicate finalized arrangements to AUSAs.
- Prepare Fact Witness vouchers for expense reimbursement and assist with reconciliation of Fact Witness travel credit card accounts.
- Pull documentation required for monthly reconciliation and resolve discrepancies associated with travel or reimbursement accounts.
- Support trial teams with witness-related coordination, including trial preparation meetings, trial calendars, and spreadsheet updates.
- Establish and maintain working files including correspondence, reports, and records pertinent to cases.
- Develop and maintain tracking systems for ongoing cases; manage calendars of active cases, including hearings, trial dates, and sentencing dates, and keep program specialists informed of case progress and deadlines.
- Produce a variety of written documents using multiple office software applications, integrating outputs to create tables, charts, graphs, and similar products.
- Ensure proper formatting, accuracy of data, and correct spelling, punctuation, and grammar in all written materials.
Required Qualifications
- Minimum of 1 year administrative experience
- Proficiency with MS Word, MS Excel, MS Outlook, MS Access, and other databases, as well as Adobe Acrobat Professional.
- Strong communication skills, with the ability to interact professionally and effectively with all levels of staff.
- Ability to meet established deadlines and work as a team player in a professional office environment.
- Skill in meeting and dealing with people in a courteous and tactful manner.
- Ability to review a wide variety of legal and non-legal documents, including motions and briefs.
- Specialized experience relevant to witness management, case support, or similar administrative work in a legal or law enforcement setting.
Preferred Qualifications
- Prior experience supporting a U.S. Attorney’s Office, other DOJ component, or federal law enforcement agency.
- Experience with victim/witness coordination, court scheduling, or travel voucher reconciliation.
- Ability to obtain a Minimum Background Investigation (MBI) waiver and meet DOJ residency and HSPD-12 requirements.
