The Trust Coordinator supports assigned Trust Advisors and a select group of wealth management clients by handling a mix of administrative, operational, and client service tasks related to trust and estate accounts.
Job Functions
- Support Trust Advisors, trustees, attorneys, and clients with both routine and complex requests, including bill payment processing, account updates, scheduling coordination, household and vendor payments, insurance-related items, gifting activity, and other client-directed needs.
- Handle incoming client and internal inquiries, ensuring timely responses or appropriate routing.
- Manage phone and email communications, including screening calls, directing messages, and maintaining monitored inboxes per advisor guidelines.
- Prepare, edit, and update correspondence and supporting documents such as letters, memos, charts, family trees, and spreadsheets using established templates.
- Process daily incoming and outgoing mail, prioritizing time-sensitive materials.
- Coordinate meetings and appointments, including booking conference space, arranging visitor access, and managing logistics for internal and external meetings.
- Maintain organized electronic filing systems in line with department standards, ensuring consistent and accurate documentation of client records and communications.
- Provide backup coverage for Trust Advisors and other coordinators during absences or peak periods, assisting with a range of administrative and client service tasks.
- Support special initiatives such as foundation grant processing, bulk client mailings, and research assignments as needed.
- Perform additional responsibilities as assigned.
- Collaborate effectively across teams and contribute to departmental goals and workflow efficiency.
- Manage multiple assignments by prioritizing tasks and meeting established deadlines.
- Stay informed on relevant industry practices and developments related to trust and wealth management services.
- Apply sound judgment, problem-solving skills, and proactive thinking, escalating issues when necessary.
- Bachelor’s degree required.
- 3–5 years of experience in a financial services or related professional environment required; experience in trust and estate administration is a plus.
- Proven ability to manage multiple projects and stakeholders under strict deadlines.
- Strong interpersonal skills with the ability to interact effectively with different managers and keep stakeholders informed.
- Excellent organizational skills with the ability to work independently and prioritize effectively.
- Strong written and verbal communication skills.
- Professional demeanor appropriate for a client-facing financial services environment.
- Advanced Excel skills and proficiency with Microsoft Office Suite; ability to quickly learn new systems and applications.
- Ability to work effectively with a wide range of personalities and communication styles.
Salary : $68,000 - $85,000
