GENERAL SUMMARY
The purpose of this job is to support the Information Technology Department through administrative, purchasing, and financial coordination. This position manages procurement processes, assists with budget preparation and monitoring, and ensures compliance with County financial policies while serving as a liaison between IT, Finance, and vendors.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Reviews and processes purchase orders, contracts, and invoices for IT hardware, software, and services; verifies accuracy of technical specifications (e.g., RAM, disk space, server components).
- Coordinates vendor communications, contract renewals, bids, and RFP processes.
- Ensures compliance with County purchasing policies, state/federal procurement regulations, and financial reporting requirements.
- Assists with development and monitoring of the annual IT budget, including preparing financial reports, expenditure tracking, and variance analysis.
- Performs IT cost allocations for department services and revenue.
- Develops and maintains financial planning templates and reporting tools within the County ERP system to support budgeting, forecasting, and audits.
- Serves as primary contact for Finance Department regarding IT-related accounting entries, budget transfers, and reconciliations.
- Investigates and resolves discrepancies between vendor quotes, purchase orders, and received goods/services.
- Maintains organized and auditable records of IT assets, contracts, and financial transactions.
- Provides administrative support to IT leadership, including scheduling, documentation, and reporting.

MINIMUM QUALIFICATIONS
Required Education and Experience
- At least two years of relevant college-level course work or an Associate’s degree from an accredited college or university in Business Administration, Finance, or Information Technology; or a related field
- 3 to 5 years of related work experience, such as purchasing, accounting, or administrative support; experience with ERP systems and vendor management preferred.
- Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities
