The company currently has an opportunity for a motivated individual to join their company as a Time and Materials (T&M) Billing Clerk. This position offers an opportunity to contribute to a talented team of billing specialists, completing on-time billing processes and supporting one of the most important administrative functions within the company.
Role Description
This is a full-time on-site position for a T&M Billing Clerk. The T&M Billing Clerk will oversee the accurate preparation and processing of invoices, ensure compliance with billing procedures, and maintain financial records. Responsibilities include but are not limited to:
- Pulling weekly payroll reports for projects and hours to bill time and materials
- Reconciling payroll versus time sheets and calculating overtime based on client agreements
- Authenticating information and obtaining signatures approving data from Daily Field Reports
- Entering date from Daily Field Reports into accounting software (Computer Ease) for estimates and cost updates
- Reviewing materials, rentals, and subcontractors' invoices coded to T&M projects to determine if the invoices should be billed back to the client
- Creating invoices for clients
- Obtaining approvals from superintendents or project managers for invoices to clients
- Correcting invoices as needed to ensure accuracy before sending out to clients
- Setting up new projects in Computer Ease as they are awarded
- Maintaining new project folders as new jobs are awarded
- Assisting the Billing Manager with T&M related projects as needed
Qualifications
- Competency in Microsoft applications including Word, Excel, and Outlook
- Excellent written and verbal communication skills for interacting with clients and internal stakeholders
- Attention to detail and strong organizational abilities
- Proficient in learning/using relevant billing and accounting software
- At least two years of experience in a similar role is highly desirable
- High school diploma or equivalent required
