What are the responsibilities and job description for the Purchasing and Contracts Coordinator position at Jones Contractors, Inc.?
The Purchasing and Contracts Coordinator is responsible for the management of vendor and subcontractor approvals. Reviews vendor and subcontractor contract documentation including insurance for subcontractors and assists the purchasing department with various tasks for suppliers. Prepares all contract documentation for subcontractors or materials suppliers proposed by the Company.
Duties include but are not limited to:
- Reviews and recommends denial or satisfactory alternatives for any subsequent changes proposed by a subcontractor.
- Reviews, validates approves, or rejects the grading approval for all subcontractors relevant to safety programs, insurance compliance, DOT compliance, etc.
- Maintains database of all approved/denied subcontractors.
- Locate and set up supplier agreements, reviews and approve or reject supplier agreements.
- Coordinates with field personnel and management to ensure all subcontractors and suppliers are approved in a timely manner.
- Manages formal work order process and follows up with relevant parties. Prepares work orders and proposed change order documentation acceptance and legal signatory execution.
- Enters all formal work orders into accounting software.
- Completes all credit applications for new suppliers.

- Prolonged periods sitting at a desk and working on a computer
- Light lifting 15 lbs. or less
Qualifications
- Minimum of 5 years legal experience
- Bachelor’s Degree, in Business, Accounting, or Organizational Leadership preferred.
- Paralegal certification preferred.
- Demonstrable knowledge of vendor and subcontractor vetting with construction processes, emphasizing industrial construction in the oil, gas, and renewables sectors.
- Ability to communicate and work with all management levels to achieve the goals set for specific projects.
- Must be able to perform in a Team atmosphere, need good inquiry skills.
- Ability to review all vendor documentation, and proposals and see the opportunities.
- Proven performer with bottom-line responsibility.
- Effective communication skills, both written and verbal, with internal and external customers
- Strategic thinker with growth in mind.
- Advanced analytical skills.
- Advanced computer proficiency, including strong working knowledge of Microsoft Excel, Word, Teams, Smartsheet, ComputerEase, and shared cloud-based database systems.
- Strong technical aptitude, accurate data entry skills, and a high typing speed are required
- Knowledge of contract language and risk mitigation.
