Summary
We are looking for a detail-oriented Safety Data Entry & Administrative Specialist to support the Safety team with recordkeeping, reporting, data tracking, and day-to-day administrative tasks. This role will help maintain accurate safety records, support compliance reporting, and assist with coordination across multiple locations and teams.
Responsibilities
- Enter and maintain safety, training, incident, and compliance data in internal systems and databases
- Track and update employee records, including new hires, terminations, training completion, and certifications
- Support OSHA, DOT, and workers compensation recordkeeping and reporting
- Maintain files related to incidents, driver qualifications, training, and safety programs
- Assist with monthly and annual reporting, KPI tracking, and presentation preparation
- Coordinate safety meeting logistics, scheduling, travel arrangements, and materials
- Order and maintain safety supplies and support administrative tasks for the Safety team
- Help manage documentation related to insurance claims, audits, and compliance activities
- Communicate with internal teams, clinics, insurance contacts, and vendors as needed
- Support general administrative duties for the EH&S and Safety leadership team
- 2 years of experience in data entry, administrative support, or coordinator-type roles
- Strong attention to detail and organizational skills
- Comfortable managing large amounts of data and documentation accurately
- Strong Microsoft Office skills, especially Excel, Word, and PowerPoint
- Good written and verbal communication skills
- Ability to multitask and support multiple priorities in a fast-paced environment
- Experience supporting safety, compliance, HR, operations, or fleet teams is a plus
- Familiarity with OSHA, DOT, or workers compensation processes preferred but not required
- Team-oriented with a positive and dependable attitude
