Job Title: Operations Coordinator (Part-Time)
Schedule & Compensation:
The Operations Coordinator will provide support to the Senior Site and/or Assistant Facility Managers with operational activities in maintenance and operations, accounting and finance, vendor oversight, equipment and supplies, and occupancy services. You will proactively develop and maintain client relationships ensuring that expected service levels are achieved.

- Pay: $22–$25 hourly
- Schedule: Flexible schedule working 4 or 8-hour shifts, 3 to 5 days a week.
- Hours: 20–25 hours a week max.
The Operations Coordinator will provide support to the Senior Site and/or Assistant Facility Managers with operational activities in maintenance and operations, accounting and finance, vendor oversight, equipment and supplies, and occupancy services. You will proactively develop and maintain client relationships ensuring that expected service levels are achieved.
Key Responsibilities
Warehouse & Inventory Management (Specialized Duties)
- Inventory Management: Efficiently receive, ship, and manage all materials and equipment entering and exiting the technician center.
- Auditing & Accuracy: Regularly track and manage material and equipment audits within the center to ensure inventory accuracy and minimize loss.
- Procurement Support: Manage all ordering of materials and equipment essential for daily field operations, ensuring technicians have the necessary supplies at all times (excluding specialized tools and test equipment).
- Operational Partnership: Work hand-in-hand with operations leads and technicians to accurately provide and reconcile OSP (Outside Plant) materials, CPE (Customer Premise Equipment), and consumable items. Ensure technicians have immediate access to requirements and handle returns/reconciliations efficiently.
- Act as a single point of contact for a client retail/office site or group of sites.
- Actively support an environment of teamwork, co-operation, performance excellence, and personal success.
- Conduct daily walkthroughs to ensure a clean and organized office.
- Respond to all work orders in a timely manner, ensuring KPI compliance and excellent customer service.
- Identify opportunities for improved operation and service excellence; make recommendations for and conduct site inspections and assessments to ensure all building procedures and performance measures are maintained, ensuring a safe workplace.
- Schedule and manage repairs and maintenance, minor works, and other work requests, tracking them to completion.
- Provide information and direction to vendors, facilities staff, and other service providers to ensure excellent coordination and execution of work with minimal disruption.
- Assist in the procurement of vendors and services as required.
- Complete room setup and take down of furniture and audio/visual equipment for meetings, training, and special events.
- General Support: Perform reception and guest support, mail and courier services, office supplies and equipment maintenance, landlord relations, management of building access passes, and safety/security support.
- Update and maintain accurate records and official documentation for the site(s), including web pages and activities regarding moves/reconfigurations, events, reception, and building operations.
- Emergency Response: Maintain and propose emergency response plans including evacuation, implementation of after-hours emergency response, and environmental health and safety. Act as the first point of contact for after-hours issues and emergencies.
- Comply with all requirements of the client contract and meet or exceed Key Performance Indicators (KPIs).
- Deliver an exceptional quality of service, as reflected by client feedback.
- Coordinate site operations in accordance with all agreed policies, procedures, and contract scope.
- Complete finance and purchasing tasks as assigned by Senior / Asst Site Manager.
- Assist the Senior / Asst Site Manager to achieve or exceed financial targets and key performance indicators.
- Assist with the annual budgeting and quarterly forecasting processes for assigned site(s).
- Seek ways to constantly reduce costs and improve operational standards.
- Ensure compliance within delegated financial and contractual authorities.
To apply, you need to have:
- Prior experience in facilities, property management, hospitality, or a related field (preferred).
- Knowledge of local occupational health and safety requirements, critical facilities, and vendor management for specialized services is advantageous.
- Understanding of basic technical aspects of property (computer room air-conditioning, chiller system, fire protection system, mechanical & electrical system) is advantageous.
- Proficiency in a range of information technology tools and platforms.
- Excellent communication, organization, and problem-solving skills.
- Ability to work independently with little supervision and effectively deal with stressful situations.
- Self-motivated, confident, energetic, and flexible.
