Position Summary:
Support the Facility Manager in the delivery of services to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management. Develop client relationships with key representatives in supporting client’s corporate real estate goals and objectives.

Directly support the Facility Manager in executing the needs of managing the assigned portfolio. Responsibilities, including, but not limited to:
Support the implementation of the EHS management systems
Required Knowledge, Skills and Abilities (KSA)
Support the Facility Manager in the delivery of services to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management. Essential Functions:
Directly support the Facility Manager in executing the needs of managing the assigned portfolio. Responsibilities, including, but not limited to:
- Maintain client satisfaction with delivery of Facility Management services and support programs to increase customer satisfaction.
- Support compliance with Jones Lang LaSalle minimum audit and compliance standards in facility management, financial management and operational policies and procedures utilizing OneView Projects platform for small capital projects.
- Meet or exceed site Key Performance Indicators (KPI’s); monitor Service Level Agreements (SLA’s) monthly to identify potential challenges and plan corrective actions accordingly.
- Manage technician payroll and reporting.
- Manage technician PTO and reporting.
- Assist with receiving and dispatching work orders to technical staff, vendors or other service providers utilizing Corrigo.
- Provide management services for all subcontracted and managed suppliers ensuring services are delivered consistently with agreement terms for all facility services including but not limited to the following: landscape maintenance, janitorial, security, waste/recycling, window cleaning, interior plant maintenance, vending and food services.
- Manage client badging process for facility workforce and vendors.
- Facilitate inspections of assigned properties proactively addressing any deficiencies.
- Provide facility specific assistance to the project management team as needed or requested.
- Coordinate special events in support of client or Jones Lang LaSalle
- Manage technician P-Card receipts and reporting.
- Support requests associated with Jones Lang LaSalle’s Management and Operations team.
- Support energy management programs and reporting.
- Demonstrate strong collaboration and teamwork within the account team, by including driving the development and implementation of IFM best practices and innovations.
- Manage all duties in compliance to the Master Services Agreement and applicable performance measurements.
- Oversee client conference rooms needs such as organizing, configuration, light cleaning.
- Manage office snacks for the office areas as needed and my need to order and stock.
Support the implementation of the EHS management systems
- Enforce all Company policies and training requirements regarding safe and efficient operations and work practices.
- Assist in the development and management of operational and capital budgets.
- Management and staff with operational reporting, budgeting, financial management, purchasing as necessary.
- Support development of monthly/quarterly variance reporting for operating budgets
- Continuously identify cost savings opportunities
Required Knowledge, Skills and Abilities (KSA)
- Excellent customer, computer, managerial, verbal and written communication skills.
- Use of OneView Project Management Platform software and tools
- Use of Facility computerized maintenance management system/ Corrigo.
- Ability to multi-task and effectively organize responsibilities to achieve portfolio goals and objectives.
- Ability to maintain professionalism at all times under stressful situations.
- Ability to plan and manage work under time constraints.
- Basic knowledge of building systems (mechanical and electrical systems).
- Looking for an individual with strong customer service background and communication skills.
- Associates Degree or equivalent work experience in facilities management or property management.
- Minimum of 2 years industry experience required either in facility/property space, third party service provider or as a consultant.
