Overview

The role of the Executive Assistant - Compliance is to provide daily and on-going administrative support to executive staff members as required. This includes the Chief Compliance Officer (CCO) and several direct reports. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently and proactively with little or no supervision.

Responsibilities

Additional representative responsibilities will include, but not necessarily be limited to, the following: 

  • Responsible for managing calendar, scheduling meetings, making travel arrangements, preparing expense reports
  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently
  • Setting up, maintaining files and general correspondence
  • Main point of contact and coordination for all department Purchase Orders, statements of work, and invoice tracking and following the Procure to Pay process
  • Developing, formatting, proofreading and upkeep of general Excel files, Word documents and PowerPoint presentations
  • Support department projects and initiatives
  • Coordination with Compliance Operations on managing Expert Service Agreements
  • Coordinating team meetings including logistics, travel and other arrangements
  • Responsible for following-up on assigned tasks
  • Handle other responsibilities as assigned

Qualifications

  • Minimum of a High School Diploma; Bachelor’s degree preferred
  • Minimum of 5 years executive assistant experience supporting senior level management required
  • Experience in the Pharma or Biotech industry preferred
  • Experience supporting multiple executives is required
  • Highly motivated toward achievement and surpassing set goals
  • Desire to learn and take on challenging assignments
  • Ability to manage the needs of multiple constituents
  • Ability to exercise discretion in dealing with confidential or sensitive matters
  • Ability to handle multiple projects simultaneously while remaining flexible to shift priorities quickly
  • Ability to excel in a fast-paced environment, sometimes under pressure, with a high level of professionalism is crucial to this role
  • Professional phone etiquette
  • Excellent calendar management skills
  • Must have excellent communication skills (verbal and written).
  • Highly organized with a strong attention to detail, clarity, accuracy and conciseness.
  • Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Must successfully exhibit Insmed’s five (5) core corporate competencies of: Accountability, Integrity, Passion, Collaboration and Respect; along with any other position specific competencies.
  • Individuals must demonstrate the ability to interact successfully in a dynamic and culturally diverse workplace.

Salary Range

Insmed takes into consideration a combination of candidate’s education, training, and experience as well as the position’s scope and complexity, the discretion and latitude required in the role, and external market and internal value when determining a salary level for potential new employees. The base salary range for this job is from $100,000.00 to $140,000.00 per year
