Position Overview
We are seeking a highly organized and proactive Executive Assistant to support our Senior Vice President and executive leadership team at our Basking Ridge, NJ office. This individual will be a key partner to senior stakeholders, ensuring seamless day-to-day operations, managing complex calendars, coordinating travel and events, and acting as a liaison with internal and external stakeholders. The ideal candidate is detail-oriented, tech-savvy, professional, and eager to grow within a dynamic organization.
Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate logistics for internal and external engagements.
- Arrange and manage detailed travel plans including flights, accommodations, and itineraries for domestic and international trips.
- Prepare, synthesize, and organize materials for meetings, events, and presentations.
- Act as a point of contact between executives and internal/external stakeholders; maintain a high level of professionalism in all communications.
- Monitor and respond to emails on behalf of senior leaders, ensuring timely and appropriate follow-ups.
- Coordinate and support office operations and cross-functional initiatives.
- Prepare and process expense reports in compliance with company policies.
- Collaborate with multiple departments to ensure alignment and execution of executive priorities.
- Track and manage deadlines, action items, and priorities across multiple workstreams.
- Support leadership team with special projects and administrative tasks as needed.
Required Qualifications
- 3–8 years of experience supporting senior executives in a corporate environment.
- Demonstrated experience in calendar management and travel coordination for senior leadership.
- Proven ability to handle sensitive and confidential information with discretion.
- Experience working cross-functionally and interacting with senior stakeholders.
- Strong business acumen and desire to understand executive priorities and organizational goals.
- High proficiency in Microsoft Outlook, PowerPoint, Word, and Excel.
- Exceptional written and verbal communication skills.
- Highly organized, detail-oriented, and able to manage multiple priorities simultaneously.
- Proactive problem-solver with strong time management and decision-making abilities.
- Strong interpersonal skills and a professional demeanor.
Preferred Qualifications
- Bachelor’s degree preferred.
- Experience supporting global calendars across multiple time zones.
- Experience working in an AI start-up, digital transformation, or engineering services company.
Salary : $85,000 - $125,000
