Sales Operations Coordinator

Job Description

Our client is seeking a highly organized and customer-focused Sales Operations Coordinator to support a growing team within the foodservice and chain account industry. This role serves as a critical business partner to senior leadership and will help manage the day-to-day operational, project coordination, and customer support functions that keep key accounts and new product initiatives moving forward. The ideal candidate is professional, personable, detail-oriented, and thrives in a fast-paced environment where they can manage multiple projects simultaneously while building strong relationships with customers, manufacturers, distributors, and internal stakeholders. This position works alongside leadership, supporting customer initiatives, managing project timelines, coordinating communications, and ensuring seamless execution from opportunity identification through product distribution.

Key Responsibilities

Sales & Account Support

• Support senior leadership in managing chain account relationships and customer initiatives.
• Attend customer meetings, manufacturer visits, and industry conferences as needed.
• Build and maintain professional relationships with customers, manufacturers, distributors, and internal teams.
• Track opportunities and activities throughout the sales pipeline to ensure timely follow-up and execution.
• Coordinate pricing requests, product quotes, customer communications, and administrative sales support activities.

Pricing & Contract Management

• Manage non-food pricing contracts and customer pricing programs.
• Coordinate annual price increases and address pricing discrepancies between customers and manufacturers.
• Prepare and distribute pricing quotes for potential customers.
• Maintain accurate pricing records and supporting documentation.

Project & Commercialization Coordination

• Lead coordination efforts for new product introductions and manufacturer transitions into new customer accounts and distribution channels.
• Manage project timelines and ensure key milestones remain on track throughout the approval and launch process.
• Coordinate:
• Product samples
• Quotes
• New item forms
• Distributor communications
• Initial purchase orders
• Product launches
• Monitor projects from concept through commercialization and distribution.

Customer Service & Supply Chain Support

• Serve as a point of coordination for shipping issues, quality concerns, product availability questions, and supply chain challenges.
• Facilitate communication between customers, manufacturers, and distributors to resolve issues efficiently.
• Support ongoing customer communications regarding:
• Product introductions
• Product specification changes
• Pricing updates
• Market and industry information

Administrative & Reporting Functions

• Complete customer-required documentation, including new item forms, pricing forms, and product update requests.
• Cross-reference products and maintain detailed tracking spreadsheets and project records.
• Manage sample requests and maintain accurate project documentation.
• Utilize CRM systems and Microsoft Office tools to track opportunities, projects, communications, and reporting metrics.
