The Johns Hopkins Center for Health Security at the Bloomberg School of Public Health works to protect people’s health from epidemics and disasters and ensure that communities are resilient to major challenges. We examine how scientific and technological innovations can strengthen health security. We study the policies, organizations, systems, and tools to prevent and respond to outbreaks and public health crises. We advance policies and practice to address a range of challenges, including the global rise in emerging infectious diseases, a continued risk of pandemic flu, major natural disasters, our dependence on vulnerable infrastructure, and the potential for biological, chemical, or nuclear accidents or intentional threats.

The Center is hiring a Senior Program Coordinator to provide support for a five-year Cooperative Agreement from the Centers for Disease Control and Prevention’s Insight Net.

The Sr. Program Coordinator provides support for the epidemic preparedness project—Toward Epidemic Preparedness: Enhancing Public Health Infrastructure and Incorporating Data-Driven Tools—which will establish the Center for Outbreak Response Innovation (CORI), a large-scale partnerships with traditional and nontraditional public health stakeholders across the country to integrate infectious disease modeling and analytics tools into decision making at many levels, as well as train public health practitioners to use modeling and analytics tools for the full spectrum of epidemic responses. Partners will include state and local public health departments, elected leaders, public health decision-makers, and meteorologists. Reporting to the Program Manager, the Sr. Program Coordinator will support execution of overarching programmatic and administrative duties, as directed by program leadership. They will operate as part of a team of support staff for the initiative by providing overall administrative support for faculty. The Sr. Program Coordinator’s primary duties will include providing programmatic support for the overall CORI program and providing administrative support as needed for 4-5 Senior Scholars, 9 junior-level faculty, and the Program Manager. CORI will host multiple events throughout the year both in Baltimore and in multiple states including Tennessee, North Caroline and Alaska. Events will include virtual and in-person trainings, webinars, in-person meetings and on-location field trainings. The Sr. Program Coordinator will be the primary contact for event planning and logistics for CORI.

Specific Duties & Responsibilities

  • Provide general administrative support for the Program team.
  • Be the primary contact for event planning and logistics including liaising with Center for Health Security Event Planners to execute CORI specific events.
  • Prepare meeting materials (e.g., draft agenda, collect relevant information) and staff high-level meetings. Record and draft minutes. Monitor and follow-up on action items.
  • Coordinate preparation, event logistics, event set up, vendor coordination, contracts and payments, and travel logistics for these events/functions.
  • Attend meetings and record minutes, using software for transcription when necessary.
  • Assist with planning special events/functions, including workshops, conferences, webinars.
  • May assist in compiling information related to grants & contracts submission.
  • Use various software applications, e.g., spreadsheets, databases, word processing, and other information systems.
  • Identify and resolve administration problems and issues. Analyze operating practices, processes, and procedures (e.g., record-keeping systems, forms control, office layout, personnel requirements).
  • Identify program operational requirements. Obtain and utilize internal and external resources to meet program goals.
  • Suggest areas of improvement when needed to accommodate project goals.
  • Responsible for the implementation of a program under general supervision and direction. Go beyond providing administrative support for the program.
  • Participate in program design, development, planning, and implementation.
  • Exercise independent judgment in the resolution of programmatic problems.
  • Assist with scheduling and coordination of meetings with subject matter experts and officials at project site locations.
  • Act as backup to Program Operations Coordinator for scheduling, travel, and events support.
  • Other general administrative and program support as assigned.

Minimum Qualifications

  • Bachelor's Degree.
  • Five years of related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Bachelors Degree in Public Health, Communications, Business, or Scientific field.
  • Experience providing administrative and programmatic support in a fast-paced environment where jugging multiple priorities is crucial.
  • Experience planning and coordinating events, both in-person and virtual.
  • Adept at using MS Word, Excel, PowerPoint and Adobe.
  • Familiarity with higher education structure and operations.
  • Familiarity with the operational life cycle of project management and supporting the day-to-day management of longitudinal projects and initiatives.
  • Previous experience/familiarity working on federal grants and contracts and/or sponsored projects in higher education highly desired.
  • Experience working for state or local public health departments supporting projects/initiatives related to stakeholder education and outreach.
  • Familiarity with program management software such as Notion or Air table.
  • Familiarity with Otter Pilot, Teams, Zoom, Microsoft Office and other software programs to support CORI center operations.
  • Ability to be flexible and amenable with projects and initiatives that may change and evolve in a fast-paced environment.
  • Demonstrated ability to show discretion and good judgement when working on projects that required a high degree of diplomacy, tact and accuracy.
