The Benefits Administrator is responsible for the day-to-day administration and coordination of employee benefit programs, including health, dental, vision, life, disability, retirement, and wellness plans. Benefits Administration
- Administer employee benefit programs, including group health, dental, vision, life, disability, 401(k), and wellness plans
- Process benefit enrollments, changes, and terminations accurately and timely within HRIS systems
- Audit benefit deductions and enrollment data for accuracy and resolve discrepancies with payroll and vendors
- Respond to employee inquiries regarding plan coverage, eligibility, and costs, ensuring high-quality service delivery
- Manage benefits documentation and maintain confidential employee records in compliance with privacy standards
- Serve as a primary point of contact for employee benefit questions and concerns
- Conduct benefits orientations and assist with open enrollment meetings
- Prepare and distribute benefits communication materials, summaries, and reminders
- Provide individual guidance on qualifying life events, claims processes, and benefits utilization
- Collaborate with HR, Payroll, and external vendors to ensure consistent communication and service
- Ensure compliance with federal and provincial/state regulations (e.g., ACA, ERISA, COBRA, HIPAA, FMLA, or local equivalents)
- Maintain required reporting and documentation for audits, renewals, and regulatory filings
- Assist with data collection for plan renewals, benchmarking, and annual filings
- Support plan testing, discrimination reviews, and other compliance-related projects
- Act as a liaison between employees and benefits vendors or brokers to resolve service or claims issues (e.g. LOA, UI, FMLA, WCB, AON, Principal, Paylocity, etc.)
- Support the evaluation of vendor performance and participate in benefits renewals or system upgrades
- Identify opportunities to streamline processes and improve the employee benefits experience
- Perform other duties as assigned
Requirements
Qualifications & Skill Requirements
- Bachelor’s degree in Accounting, Finance, Human Resources, or a related field
- 4 years experience in benefit administration
- Experience with HRIS systems (e.g., Paylocity, Workday, UKG, ADP, Dayforce) preferred
- Knowledge of benefits laws, regulations, and compliance requirements
- Experience in a multi-site or multi-state organization a plus
- Ability to manage complex employee benefit plans utilizing third party providers (e.g. Employee Navigator, HRIS, FMLA, UI, etc.)
- Strong understanding of employee benefits and related regulations
- Interface with payroll and benefit providers to resolve concerns
- Experience optimizing workflows and benefit processes
- Proficiency in Microsoft Office Suite and HRIS/benefits platforms
- Ability to handle confidential information with discretion
- Exceptional attention to detail and accuracy
