Travel & Expense Associate

The Travel & Expense Associate supports the Travel & Expense (T&E) team within Finance, providing day-to-day operational support for employee travel and expense activities across the organization and its affiliates. This role focuses on driving operational excellence by managing employee compliance, responding to inquiries, ensuring timely and accurate expense reporting, and partnering closely with SAP Concur Audit and internal stakeholders. The Associate serves as a key liaison to Compliance and Sales Operations, supports monthly follow-ups on outstanding expenses, provides backup coverage during peak processing periods, and contributes to continuous process improvements.

This role also plays a critical part in employee enablement and training by facilitating new hire and field onboarding, delivering company-wide T&E education, and developing scalable training materials, including AI-based video modules. The Associate identifies repeat non-compliance trends, delivers targeted coaching, creates user guides and SOPs, and performs quality assurance reviews to strengthen program compliance and efficiency.

Key Responsibilities

  • Manage monthly follow-ups for outstanding expense reports and respond to employee inquiries
  • Identify non-compliance trends and deliver targeted training and coaching
  • Facilitate new hire, field, and company-wide T&E training sessions
  • Develop training materials, including AI-based video modules
  • Partner with SAP Concur Audit, Compliance, and Sales Operations to resolve issues
  • Create SOPs, user guides, and perform QA reviews to prevent future issues
  • Provide backup support during peak expense processing and support process improvements

Qualifications

Required

  • Bachelor’s degree in Accounting, Finance, Business, or related field (Master’s a plus)
  • 3-5 years of Travel & Expense experience, preferably in Life Sciences or regulated environments
  • Working knowledge of SAP Concur or similar expense systems
  • Experience delivering employee training and creating documentation
  • Proficiency in Microsoft Excel and Office applications
  • Strong attention to detail and communication skills

Preferred

  • Knowledge of internal expense audits and QA processes
  • Experience with AI-based training tools
  • Strong analytical, organizational, and multitasking skills
  • Ability to collaborate cross-functionally with integrity and professionalism

The base pay range listed reflects what we reasonably expect to offer for this role. Actual pay may vary based on location, experience, and performance.
