Executive Summary: HRUCKUS is looking for an experienced IT Administrative Assistant to provide comprehensive clerical and administrative support to ensure efficient daily operations.
Position Description: The ideal candidate will manage correspondence, scheduling, records management, and general office coordination while supporting departmental staff and leadership, including basic IT troubleshooting and asset tracking.
Position Responsibilities:
- Develop, draft, write, and edit reports, briefs, proposals, and other documents in support of a client's requirements.
- Interface with personnel to coordinate meetings, maintain logs, records, and files; provide end-user support; and perform general administrative duties.
- Assist in budgetary, billing, and financial management.
- Prepare and/or maintain systems, programming, and operations documentation, procedures, and methods, including user reference manuals.
- Monitor IT and Telecommunication equipment processing orders and receiving.
- Track incoming systems equipment and log it into the QuickBase IT Equipment inventory database.
- Track and prepare documentation and disposal equipment for agency End of Life (EOL).
- Enter PASS procurement requisitions for the IT Division\OSA for systems hardware.
- Track and manage Software Licenses and distribution of user accounts.
- Act as the first point of contact for telephone, voicemail, email, and in-person requests for assistance from users experiencing basic computer-related issues.
- Monitor, host, and manage WebEx and MS Team Meetings.
- Perform Asset Tracking management of system equipment and disposal.
- Lift up to 40 lbs of equipment.
Required Qualifications:
- High School Diploma or GED (10 years of experience)
- Developing, drafting, writing, and editing reports and other documents (6 years of experience)
- Presentation Skills to an open audience (6 years of experience)
- Interfacing with personnel to coordinate meetings, maintain logs, records, and files, provide end-user support, and perform general admin tasks (6 years of experience)
- Managing internal phone system requests, including ordering new user accounts and hardware (6 years of experience)
- Handling weekly stationery purchase (6 years of experience)
- Webex, MS Teams, and other Visual meeting software (6 years of experience)
