Job Title: Executive Assistant to the CEO
Position Summary
We are seeking a highly organized, proactive, and discreet Executive Assistant to the
CEO who will serve as the CEO primary support and trusted representative. This role
requires exceptional judgment, attention to detail, and the ability to manage competing
priorities in a fast-paced environment. The Executive Assistant will act as the CEO
eyes and ears, ensuring daily operations, communications, and order processing are
handled with professionalism and accuracy.
This position requires flexibility, as some days will be based in the office while other
days will be spent on job sites, depending on the CEO schedule and business needs.
Key Responsibilities
Executive & Administrative Support
ï‚· Manage the CEOs day-to-day tasks, calendar, meetings, and priorities
ï‚· Anticipate needs and proactively address issues before they arise
ï‚· Serve as a gatekeeper and liaison between the CEO and internal/external
stakeholders
ï‚· Prepare correspondence, reports, and presentations on behalf of the CEO
ï‚· Maintain strict confidentiality on all executive and company matters
Order Processing & Quoting
ï‚· Enter quotes and process customer orders on behalf of the CEO
ï‚· Ensure accuracy of pricing, terms, and documentation prior to submission
ï‚· Coordinate with sales, operations, and finance teams to ensure timely order
fulfillment
ï‚· Track orders, follow up on approvals, and communicate status updates as
needed
Representation & Communication
ï‚· Represent the CEO professionally in meetings, calls, and written communication
ï‚· Communicate decisions, priorities, and directives clearly to internal teams
ï‚· Build strong working relationships across all departments
ï‚· Act as the CEO eyes and ears, identifying risks, opportunities, and follow-ups
