Position Summary

The HR Compliance Administrator is responsible for administering and maintaining the organization’s Human Resources compliance infrastructure, including the employee handbook, job descriptions, standardized templates, internal HR document repository, organizational charts, and Gantt charts. This role ensures that all HR documentation, policies, procedures, and workforce planning tools are accurate, current, consistently applied, and aligned with applicable laws, regulations, and organizational standards.

Serving as a central point of coordination between HR Leadership, Compliance, Legal, and Operational Teams, the HR Compliance Administrator provides structured documentation, project tracking, and governance support. Through disciplined document control, version management, and timeline oversight, this position strengthens audit readiness, mitigates organizational risk, and supports transparent, compliant, and well-governed workforce operations across the organization.

ESSENTIAL JOB FUNCTIONS

Essential functions for this position relate to the responsibility of oversight of accounting functions of assigned properties, companies, and personnel including but not limited to:

  • Maintains, updates, and administers the employee handbook in alignment with applicable laws, regulations, and organizational standards.
  • Develops, updates, and maintains accurate job descriptions reflecting essential functions, reporting relationships, and classification requirements.
  • Creates, standardizes, and manages HR templates, forms, SOPs, and procedural documents.
  • Administers and maintains the internal HR document repository, ensuring proper organization, version control, access controls, and document integrity.
  • Ensures all HR policies, procedures, and documents are current, approved, and consistently applied across the organization.
  • Maintains accurate, confidential, and audit-ready HR compliance records in accordance with record retention requirements.
  • Tracks, documents, and maintains employee acknowledgements of policies, handbooks, and required notices.
  • Develops, updates, and maintains organizational charts reflecting current staffing structures and reporting relationships.
  • Creates, updates, and maintains Gantt charts and compliance timelines to track HR initiatives, audits, policy reviews, and implementation milestones.
  • Monitors compliance deadlines and escalates risks or deficiencies to HR leadership as appropriate.
  • Coordinates, prepares, and maintains documentation and reporting for internal and external audits, inspections, and regulatory reviews.
  • Tracks, monitors, and maintains completion records for required compliance trainings, certifications, and acknowledgements.
  • Supports, maintains, and updates employee relations and disciplinary documentation to ensure consistency and due process.
  • Serves as a liaison between HR, compliance, legal, and operational teams regarding documentation and compliance requirements.
  • Identifies, documents, and recommends corrective actions for documentation gaps, inconsistencies, or compliance risks.
  • Ensures confidentiality and proper handling of sensitive employee information at all times.
  • Stays informed of changes in employment laws and regulatory requirements impacting HR documentation and compliance.
  • Updates internal websites and intranet pages as needed to ensure HR policies, procedures, forms, and resources are current and accessible.
  • Ensures a positive and welcoming experience for all personnel.
  • Provides reports and project updates to members of the Human Resources Department.
  • Proactively identifies innovative and creative process improvements in order to further enhance the employee experience.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Ensures privacy and maintains security of confidential materials. Maintains appropriate files/records for general correspondence, contract documents, agreements, legal documents, awards, financial reports, and general reports in an accurate and timely manner.
  • Accountable for consistent adherence to strong Authority standards regarding the ethical, responsible, and appropriate use, care, and safeguarding of Authority materials, supplies, resources, and other assets.
  • Undertakes and performs other work-related duties as assigned including work in other functional areas to cover absences or provide relief, to equalize peak work periods, or otherwise balance the workload.
  • Performs other related duties as assigned.


  • Bachelor’s Degree in Human Resources, Business Administration, or a related field from an accredited college or university or equivalent combination of training and experience.
  • 5-7 years of progressively responsible professional experience with exposure to the principles and practices of Human Resources and the operations of an organization.
  • Understanding of extracting and transferring data using secure methods.
  • Strong project management skills.
  • Proficiency in Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.
  • Strong proficiency in Microsoft Visio and Microsoft Project for process mapping, workflow design, and project tracking.
  • Strong mathematical aptitude and ability to create and apply formulas in Excel.
  • Strong problem-solving and critical-thinking skills, with the ability to select, organize, and logically process relevant information.
  • Strong oral and written communication skills, including the ability to clearly communicate. information and resolve issues.
  • Ability to handle sensitive and confidential information with the utmost discretion.
  • Ability to work efficiently and effectively under pressure while meeting deadlines.
  • Ability to manage multiple projects simultaneously with accuracy and attention to detail.
  • Experience with system implementation, policy implementation, and continuous process improvement.
