We are seeking a detail-oriented and organized Office Assistant to join our team. Responsibilities
- Greet visitors and manage front desk operations with professionalism and courtesy
- Handle all incoming phone calls in a proessional manner, and direct inquiries appropriately
- Perform general clerical duties including filing, scanning, mailing, copying, and maintain accurate records.
- Create posters, flyers, notices, and other tenant communications as needed.
- Support bookkeeping tasks
- Coordinate office supplies inventory
- Assist with office management duties such as organizing files, maintaining office cleanliness, and supporting administrative projects
- Enter new applications into the computer system accurately and in a timely manner.
- Mail application packets and respond to applicant inquiries.
- Fax, email, and track verification forms required for eligibility and recertification processes.
- Create and maintain tenant files, ensuring compliance with organizational policies and regulatory requirements.
- Prepare annual recertification packets for tenants.
- Assist with scheduling and conducting showings of rental units.
- Run background checks in accordance with established procedures and confidentiality standards.
- Enter incoming work orders into the system and communicate them to maintenance staff.
- Track work order completion and follow up as needed.
Qualifications
- Proven experience in an office environment, including clerical or administrative roles
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong typing skills and attention to detail for proofreading and data entry tasks
- Exceptional customer service skills with professional phone etiquette
- Previous experience as a receptionist, personal assistant, or receptionist is desirable
- Ability to handle multiple responsibilities efficiently in a fast-paced environment
- Demonstrated time management skills to meet deadlines consistently
