Position Summary
The Payroll & Accounting Manager is responsible for overseeing payroll processing, accounts payable and receivable functions, tax compliance, and financial operations support. This role ensures accuracy, compliance, and efficiency across payroll, invoicing, collections, and regulatory reporting, while supporting broader financial and operational processes within the organization.
Key Responsibilities
Payroll & Compensation
- Manage full-cycle bi-weekly payroll processing, including commissions and bonus payments
- Process monthly commissions and bonus accruals/payouts
- Maintain payroll-related accrual entries and reconciliations
- Support annual workers’ compensation audits and estimations
- Manage onboarding and setup of new vendors, including W-9 collection and compliance
- Process accounts payable invoices and execute weekly payment runs (checks and ACH)
- Oversee provider payments and related financial transactions
- Manage customer invoicing in accordance with contract terms (SOW-specific billing)
- Oversee accounts receivable and collections processes
- Apply customer payments to outstanding invoices
- Administer customer rebates, discounts, and T&E adjustments
- Prepare and file W-9 and year-end IRS documentation
- Manage sales tax registrations, filings, and remittances
- Coordinate business registrations in new states and maintain annual filings
- Prepare detailed schedules for state and local tax filings
- Complete quarterly B&O tax calculations and filings
- Respond to state inquiries and regulatory requests
- Support state-specific reporting requirements (e.g., NY reporting)
- Prepare monthly medical malpractice summary reporting
- Provide documentation and support for semi-annual audits (e.g., Wells Fargo audits)
- Review project financial models and provide insights
- Approve placements in Salesforce, including provider and ACH setup
- Set up project placements and related system configurations
- Review and maintain system data integrity, including updates to fields and configurations for multi-placement scenarios
- Review T&E submissions and ensure accurate billing
- Bachelor’s degree in Accounting, Finance, or related field
- 5 years of experience in payroll, accounting, or finance operations
- Strong knowledge of payroll processing, AP/AR, and tax compliance
- Experience with multi-state payroll and tax filings preferred
- Proficiency in accounting systems and CRM platforms (e.g., Salesforce)
- High attention to detail and strong organizational skills
- Ability to manage multiple priorities and meet deadlines
