POSITION DESCRIPTION
I. TITLE OF POSITION: Administrative Assistant
II. NATURE OF POSITION: Provides clerical and secretarial support for administration.
Responsibilities include preparation and distribution of mail, typing, making copies, filing and retrieving documents, answering phones and taking messages, preparation of mailings, completing forms and reports, maintenance of company directories, assisting with meeting preparations.
III. QUALIFICATIONS:
A. High school graduate with previous secretarial experience preferred.
B. Proficient in Microsoft Office, including Word, Outlook, Excel, and Publisher.
- Good organizational skills with close attention to detail, accuracy and neatness in work.
IV. SALARY GRADE AND CLASSIFICATION: Non-exempt (hourly)
V. RESPONSIBLE TO: Practice Administrator
IV. RESPONSIBILITIES:
- Prepares email and other correspondence/letters for the administrative team.
- Maintains conference room schedules, arranges meetings as necessary.
- Maintains company directories (employee and site directories)
- Makes travel arrangements, maintains schedules and sets appointments for the administrative team.
- Assists with meeting preparations, including copying handouts, food arrangements, set‑up and clean‑up of meeting rooms.
- Distributes faxes
- Receives and logs all packages delivered to the clinic
- Performs other duties incidental to the work described herein and as assigned by the Practice Administrator.
