HRIS Payroll & Workforce Systems Specialist

Overview
This role is responsible for managing and enhancing enterprise HR systems with a primary focus on payroll processing and workforce time management. The position plays a critical role in ensuring accurate pay outcomes, reliable time data, and compliance with applicable regulations, while also improving the overall employee experience.
You’ll serve as the internal expert for payroll and workforce tracking systems, collaborating across departments to refine workflows, support system enhancements, and ensure operational efficiency. This is a hands-on position suited for someone who can balance technical configuration with functional business understanding.
Key Responsibilities
- Serve as the primary resource for payroll and workforce time systems, including configuration and ongoing support
- Maintain and enhance system workflows, including rules, approvals, alerts, and validations
- Oversee regular payroll cycles (bi-weekly/semi-monthly), including adjustments, off-cycle runs, and year-end processing
- Ensure accuracy and compliance in payroll-related reporting, including specialized labor or regulatory reporting requirements
- Identify opportunities to streamline processes and improve system performance as the organization scales
- Partner with cross-functional teams (HR, Finance, IT, Operations) to align system capabilities with business needs
- Develop and maintain reporting solutions, dashboards, and data insights for stakeholders
- Investigate and resolve system or integration issues with internal teams and external vendors
- Support system updates, releases, and testing activities
- Maintain data accuracy, system security, and adherence to internal governance standards
- Provide training, documentation, and end-user support
- Contribute to ongoing process improvement initiatives
Required Background
- Bachelor’s degree in a related field or equivalent practical experience
- 3–5 years of experience supporting HRIS platforms with a strong emphasis on payroll functionality
- Hands-on experience configuring payroll elements such as earnings, deductions, tax settings, and pay cycles
- Exposure to workforce time management and leave tracking systems, including accruals and eligibility rules
- Solid understanding of payroll fundamentals (gross-to-net calculations, tax implications, overtime rules, retro adjustments, compliance requirements)
- Familiarity with timekeeping practices (shift pay, overtime rules, break policies, rounding)
- Understanding of employee leave programs (paid time off, disability, unpaid leave, etc.)
- Experience working in complex organizational environments (multi-state or multi-entity structures preferred)
- Strong analytical mindset with attention to detail
- Ability to communicate effectively across technical and non-technical stakeholders
- Comfortable managing multiple priorities in a fast-paced setting
- Customer-focused approach to internal support
Preferred Experience
- Certifications related to HR systems or payroll platforms
- Experience in industries with complex pay structures (e.g., project-based or labor-intensive environments)
- Knowledge of specialized payroll reporting and wage compliance requirements
- Exposure to system integrations and third-party vendor coordination
- Familiarity with project tracking or Agile-based work environments
- HR-related certifications (e.g., SHRM or similar)
