Job Purpose
The Center for Engineering, Design, & Entrepreneurship (CEDE) plays a vital role in the educational mission of the School of Engineering and Applied Science (SEAS). Its primary deliverable is the Senior Design experience, a required component for all SEAS students. The CEDE Program Coordinator oversees the daily operations of CEDE. The CEDE Program Coordinator ensures the center and its programs operate efficiently within budget, while fostering innovative educational opportunities in design and entrepreneurship.

Essential Functions
- Coordinate daily operations for the Senior Design program across all SEAS departments, maintaining the master timeline, shared templates, and documentation for teams and advisors.
- Track team milestones and risk flags; escalate academic or scope issues to the Faculty Director and resource constraints to appropriate SEAS units.
- Supervise and train student workers who provide administrative and clerical support to CEDE.
- Serve as the central administrative point of contact for students, faculty, staff, and sponsors; manage inboxes, announcements, and routine stakeholder updates.
- Prepare and distribute meeting agendas, notes, action logs, and follow ups for CEDE events and working groups.
- Maintain CEDE’s shared repositories (e.g., SharePoint/Teams, Website, other) to ensure version control and access to current materials.
- Administer CEDE operating and project level budgets: process purchases, reimbursements, and vendor setups in compliance with university policy; reconcile monthly activity and prepare summary reports.
- Coordinate acquisition of materials, equipment, software licenses, and lab services required by student teams; track inventory and returns as applicable.
- Provide the Faculty Director with monthly budget snapshots and variance notes to inform strategic decisions.
- Plan and execute all Senior Design common events (e.g., sponsor meet and greets, kick-off events, mid semester presentations, Expo/Showcase, and the Senior Design Banquet), including space, catering, AV, signage, judging logistics, and volunteer coordination.
- Publish the annual Senior Design calendar (milestones, deliverables, and common events) and keep event run of show documents current.
- Coordinate execution and retention of required documentation (e.g., Contracts, NDAs, IP forms, safety training records, where applicable) in accordance with university policy.
- Coordinate the on-boarding of Design Advisory Board members as University Volunteers through HR.
- Collect and archive deliverables, evaluations, rubrics, and showcase judging records to support assessment and accreditation evidence.
- Support SEAS marketing and outreach with program information, student success highlights, and event materials.
- Perform additional administrative tasks as assigned by SEAS leadership.
