Executive Assistant / Office Manager
We are seeking an experienced and highly organized Executive Assistant / Office Manager to provide high-level administrative support to executive leadership while partnering with multiple corporate departments in a fast-paced professional environment.
This role is ideal for a polished, proactive, and detail-oriented professional with experience supporting C-level executives, managing complex schedules, coordinating travel, and overseeing office operations. The ideal candidate will possess exceptional communication skills, advanced Microsoft Office proficiency, and the ability to manage confidential information with discretion.
Responsibilities
- Provide executive administrative support to senior leadership
- Manage complex executive calendars, scheduling meetings, appointments, conference calls, and events
- Coordinate travel arrangements, including flights, hotels, transportation, and itineraries
- Screen and manage incoming calls, emails, and executive correspondence
- Serve as a liaison between executives, employees, vendors, clients, and external business partners
- Prepare and edit presentations, reports, spreadsheets, meeting agendas, and executive communications
- Organize meetings, leadership events, and company functions
- Support office management functions and day-to-day administrative operations
- Assist departments including Operations, Accounting, Human Resources, Sales, Marketing, and Facilities
- Maintain confidential records, files, and sensitive business information
- Assist with onboarding, offboarding, and various administrative initiatives
- Manage multiple priorities and deadlines in a fast-paced environment
- Provide additional administrative and project support as needed
Qualifications
- 7–15 years of experience as an Executive Assistant, Senior Administrative Assistant, Office Manager, or similar role
- Experience supporting executive leadership within a corporate environment
- Strong proficiency in Microsoft Office Suite, including:
- Excel
- PowerPoint
- Outlook
- Word
- Excellent organizational, communication, and multitasking abilities
- Strong calendar management and travel coordination experience
- Ability to handle confidential and sensitive information professionally
- Professional demeanor with excellent interpersonal skills
- Ability to thrive in a fast-paced, deadline-driven environment
Preferred Experience
- Experience supporting executive leadership teams and cross-functional departments
- Background in corporate, retail, consumer products, hospitality, or other fast-paced industries preferred
- Strong problem-solving and project coordination abilities
