Overview
GeriHab Physical Therapy and Wellness is seeking a highly experienced, energetic, and professional Front Desk Coordinator to serve as the first point of contact for our patients, families, and referral sources. This role is critical in ensuring smooth daily operations, delivering exceptional customer service, and supporting our clinical team.

Key Responsibilities
- Welcome patients, families, and visitors with warmth and professionalism, creating a positive first impression.
- Manage multi-line phone systems, ensuring calls are answered promptly and directed appropriately.
- Schedule, confirm, and manage appointments efficiently using EMR systems (including HelloNote).
- Coordinate telehealth visits using platforms such as Google Meet.
- Handle insurance verification and authorization processes, ensuring compliance and accuracy.
- Maintain and update patient records in EMR with strong attention to detail.
- Perform data entry, filing, and document management to keep records organized and accurate.
- Support front office operations including email management, correspondence, and administrative tasks.
- Assist with basic bookkeeping tasks (QuickBooks experience is a plus).
- Monitor and maintain office supplies, cleanliness, and organization of the front desk area.
- Provide excellent customer service, addressing patient inquiries and concerns efficiently.
- Collaborate with clinical and administrative teams to ensure seamless patient flow.
Qualifications & Experience
- High-level experience in a medical front desk or administrative role required.
- Strong working knowledge of EMR systems (HelloNote preferred).
- Experience with insurance verification and prior authorizations is required.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Familiarity with telehealth platforms (Google Meet or similar).
- Excellent communication skills with strong phone etiquette.
- Highly organized with the ability to multitask in a fast-paced environment.
- Experience in physical therapy, medical, or dental office settings preferred.
- Bilingual skills are a plus.
