The Project Coordinator acts as a crucial link in a cross functional setting, supporting the Project Manager by organizing tasks, tracking timelines, communicating with internal and external stakeholders, documenting progress, among others. This hands-on position requires an individual who is a self-starter, detail-oriented, organized, and positive. The ideal candidate will possess strong analytical and problem-solving skills, excellent communication and customer service orientation, and thrive in a dynamic, fast-paced setting.
Responsibilities for an AV Project Coordinator include:
- Project Life Cycle: Assist project manager in setting priorities daily with installation schedules, punch list clearing, and material allocation.
- Project Coordination & Communication: Coordinate daily project activities, facilitate clear communication among all stakeholders, and manage project schedules effectively. Communicate with project manager daily findings to fine tune processes.
- Material Procurement & Support: Set up tasks for material procurement, track material arrivals and set prefabrication schedules. Assist installers in locating necessary materials as needed. Initiate process of material returns to the warehouse from the field and follow up on material returns when defective. Create material transfer forms to reallocate parts to more urgent projects. Provide feedback to estimators on materials specifications.
- Project Planning & Risk Management: Assist with development of project plans, including setting timelines and identifying resource requirements. Monitor project progress and support the Project Manager in identifying and mitigating potential risks.
- Financial Tracking: Assist with monitoring project labor hours, travel expenses, and track overall project costs throughout the project lifecycle.
- Customer Communication: Maintain consistent communication with customers regarding project schedules and status updates. Communicate with General Contractors to track construction progress to prioritize schedules and initiate procurement processes.
- Documentation & Reporting: Maintain all project documentation for each phase in the project life cycle including project plans, kickoff meeting notes, and closeout packages. Document updates from field and general contractors to inform project schedules and procurement tasks.
- Travel Management: Coordinate and book travel plans for the team.
- Data Entry: enter tasks in system to assign technicians to project, initiate procurement, request change orders, invoicing updates, project close tasks.
Qualifications:
- 1 to 2 years of experience coordinating multiple projects simultaneously.
- 1 year of experience providing customer support and proven ability to de-escalate tense situations with clients.
- Knowledge of project management principles
- Knowledge and understanding of financial principles
- Strong verbal and written communication skills to convey project objectives, expectations, and updates clearly to various stakeholders.
- Skilled problem solver, capable of analyzing complex situations and finding practical solutions.
- Manage change effectively by assessing the impact, communicating changes to stakeholders, and adjusting project plans accordingly.
Skills and Abilities:
- Highly organized and proven ability to juggle multiple tasks, documents, and deadlines,
- Able to work in a fast paced environment, handle pressure and stress in a professional and positive manner.

- Must juggle multiple tasks, documents, and deadlines, requiring strong organizational abilities.
- A solid understanding of the construction and AV industry is crucial for our project coordinators.
- While construction project coordination and AV project management are distinct roles, having a foundation in project management principles is advantageous.
- Work with project management software, document management systems, and scheduling tools.
- Proficiency in relevant software such as Google Suite, MS Excel is essential.

Pay: $55,000.00 - $65,000.00 per year
