Gardner-Webb University is seeking to fill the position of Director of Operations - Administration & Event Services. This role provides essential mid-level leadership to the Event Services, Maintenance, Grounds, and Housekeeping departments. This role focuses on the administrative "engine" of campus facilities, ensuring that these critical teams have budgetary oversight, resource coordination, and operational systems they need to function efficiently. Rather than managing technical repairs directly, you will manage the business and logistical framework that supports the physical upkeep of the college.
Key Responsibilities
- Budgetary Oversight: Monitor and track annual operating budgets for Event Services and campus utilities. Process invoices, manage vendor accounts, and provide monthly financial reports to the Assoc. VP of Facilities Operations.
- Departmental Resource Coordination: Serve as the primary administrative liaison for the Event Services, Maintenance, Grounds, and Housekeeping departments to ensure cohesive operations.
- Contract Management: Assist in the bidding process and daily administration of external contracts (e.g., facility rentals, capital projects, waste management, and elevator maintenance).
- Workflow Administration: Manage the Computerized Maintenance Management System (CMMS) ensuring work orders are accurately captured, assigned, and closed out.
Required Skills & Qualifications
- Experience: 4–6 years of experience in operations, office management, or business administration, preferably within a facilities or trades-based environment.
- Financial Acumen: Proven ability to manage complex budgets, track expenses across multiple departments, and utilize spreadsheets for financial forecasting.
- Technical Proficiency: High level of comfort with administrative software, including Microsoft Excel and specialized Facilities Management or CMMS platforms.
- Organizational Skills: Exceptional ability to prioritize competing administrative demands from four different departments simultaneously.
- Communication: Strong soft skills for bridging the gap between field-based technical staff and the college’s central business office.
Performance Expectations
- Accuracy: Maintain precise financial and personnel records to ensure departmental transparency and audit readiness.
- Efficiency: Streamline the procurement and work-order processes to reduce downtime for the technical teams.
- Support: Act as a proactive problem-solver for the heads of Maintenance, Grounds, and Housekeeping, removing administrative hurdles so they can focus on field operations.
