Position Summary
The Development Administrative Assistant supports the mission and fundraising efforts of the Franciscan Sisters of Little Falls by processing and tracking donations, maintaining donor databases, coordinating bulk mailings, and assisting with development reporting and special events. This role is essential to ensuring accurate donor stewardship, timely acknowledgements, and effective communication with supporters, while upholding Franciscan values of respect, hospitality, open communication, and compassion.
Essential Duties & Responsibilities
1. Receive, process, and accurately record donations (mail, online, credit card, ACH, in-kind, payroll, and event-related gifts) using DonorPerfect and Excel, coordinating daily and monthly deposits with Finance.
2. Maintain and manage the donor database, including address updates, reporting, batch processing, user guidance, and data accuracy for donors and St. Francis High School alumni.
3. Generate thank-you letters, acknowledgements, donor reports, prayer lists, obituary records, and memorial notifications.
4. Coordinate and prepare bulk mailings (appeals, newsletters, donor invitations) in compliance with USPS regulations, working with staff, volunteers, Finance, and the post office.
5. Prepare monthly, quarterly, and annual development reports, including donor summaries and financial reconciliations.
6. Manage electronic mailing lists using Constant Contact integrated with DonorPerfect.
7. Support fundraising campaigns and events, including Give to the Max, GiveMN, and other development initiatives.
8. Take minutes at Community Relations Department meetings and distribute approved minutes.
9. Order and manage office and mailing supplies and assist with copier and supply usage reporting.
10. Perform other administrative and development-related duties as assigned.
Qualifications
Required Qualifications:
- Education: Vocational-technical certification in a related field or two years of development or administrative experience
- Experience: Experience in office administration, data entry, or development support
- Skills & Competencies:
· Strong attention to detail and accuracy
· Ability to manage multiple tasks and meet deadlines
· Professional written and verbal communication skills
· Ability to maintain confidentiality
Preferred Qualifications:
· Experience using DonorPerfect or similar donor management software
· Experience with mailing programs, fundraising databases, or nonprofit development operations
Knowledge, Skills & Abilities
· Proficiency in Microsoft Word, Excel, and Windows-based systems
· Strong organizational, clerical, and recordkeeping skills
· Ability to work collaboratively and independently
· Flexibility during seasonal workload fluctuations

Physical & Environmental Requirements
· Primarily sedentary office work with frequent computer use
· Occasional lifting and extended periods of paper handling during mailings
· Periodic trips to the post office and local vendors
Work Schedule
Part-time (30 hours per week) schedule with standard daytime hours; additional hours may be required during peak mailing or fundraising periods.
Travel Requirements
Occasional local travel (e.g., post office, printing vendors).
