Position Summary
The Green Fair Folk Festival Coordinator is a seasonal, project‑based role responsible for the planning, coordination, and execution of the Green Fair Folk Festival. This position works collaboratively with Franciscan Sisters of Little Falls departments, volunteers, exhibitors, and community partners to ensure the festival runs smoothly and reflects the mission, values, and vision of the Green Fair Folk Festival, including community engagement, environmental stewardship, and hospitality.
The position is primarily remote at approximately 10 hours per week leading up to the festival, with a full‑time presence required during the week of the event in August (event date: Wednesday, August 5).
Essential Duties and Responsibilities
Event Planning & Coordination
- Coordinate all logistical aspects of the Green Fair Folk Festival, maintaining timelines and deadlines.
- Meet regularly with department directors and the Green Fair Folk Festival Committee to align expectations, needs, and staffing.
- Coordinate with internal departments including Music Center, Environmental Services, Volunteers, Motherhouse Administration, Community Relations, and others as needed.
- Remain adaptable to last‑minute changes and develop contingency plans as needed.
- Ensure the event remains within the approved budget.
- Provide ongoing clear and consistent communication to the Green Fair Committee through the process
Exhibitor & Vendor Management
- Review previous exhibitor/vendor lists to ensure alignment with the mission and values of the festival.
- Contact returning exhibitors and recruit new exhibitors who enhance the festival experience.
- Update and manage exhibitor applications.
- Serve as the primary point of contact for exhibitors, responding to questions and coordinating logistics.
- Assist with collection and tracking of payments related to exhibitor ads or materials, as applicable.
Volunteer & Community Coordination
- Coordinate volunteer needs in close collaboration with volunteer manager, including parking, children’s activities, greeters, chapel tours, and on‑site assistance.
- Communicate with local partners (City of Little Falls, Little Falls Police Department, St. Gabriel’s Hospital, neighboring church) as event notifications.
Marketing & Communications
- Collaborate with Community Relations on press releases, social media content, and promotional materials.
- Assist with radio promotions and local media outreach.
- Support the development of festival booklets, including collecting images and information from exhibitors.
On‑Site Event Support
- Be present on campus during the week of the festival and throughout event day(s).
- Oversee on‑site logistics, including vendor placement, parking flow, signage, and general problem‑solving.
- Serve as a central point of coordination during the event.
Post‑Event Wrap‑Up
- Coordinate and review post‑event surveys for exhibitors.
- Gather feedback from internal departments, volunteers, and partners.
- Identify opportunities for improvement and document recommendations for future festivals.
Other Duties
- Willingness to meet on campus as needed and/or virtually.
- Perform other related duties as assigned to ensure a successful event.
Qualifications
- Experience coordinating events, festivals, or community programs (nonprofit or mission‑based experience preferred).
- Strong organizational, communication, and relationship‑building skills.
- Ability to manage multiple details and deadlines independently.
- Comfort working collaboratively across departments and with community partners.
- Proficiency with email, virtual meetings, and basic document management.
- Alignment with the mission and values of the Franciscan Sisters of Little Falls and the Green Fair Folk Festival.
Work Schedule & Location
- Seasonal/Temporary: Approximately 10 hours per week, primarily remote, leading up to the festival.
- Event Week: Full‑time on‑site presence required during the week of the festival in August.
- Occasional evenings or weekends may be required as the event approaches.
Hourly Wage Range: $26.00 – $29.00 per hour
