Title: Bookkeeper
Employment Type: Temporary 6-month position, Part-Time 3 - 5 hours per week.
Position Summary
The Bookkeeper serves as a financial steward of Prairie United Methodist Church, maintaining accurate and transparent financial records in accordance with United Methodist Church (UMC) accounting guidelines and generally accepted accounting principles. This part-time position is responsible for the day-to-day bookkeeping functions, including invoice data entry, bank and account reconciliation, and financial reporting to church leadership. The ideal candidate is detail-oriented, trustworthy, and committed to supporting the mission of the church.
Essential Duties & Responsibilities
Accounts Payable
- Receive, review, and accurately enter vendor invoices and payment requests into the accounting system in a timely manner.
- Verify invoices against purchase orders or approval documentation; route discrepancies to the appropriate staff or committee for resolution.
- Maintain organized records of all invoices, receipts, and supporting documentation in both physical and digital files.
Account Reconciliation
- Reconcile all church bank accounts and credit card statements on a monthly basis, ensuring records match bank statements.
- Reconcile designated fund accounts, memorial funds, and restricted fund balances in accordance with UMC trust fund requirements.
- Investigate and resolve discrepancies or unexplained variances in a timely manner, escalating issues to the Treasurer as needed.
- Perform periodic reconciliation of the general ledger to sub-ledgers and subsidiary accounts.
Financial Recordkeeping & Reporting
- Maintain the general ledger using church-approved accounting software (e.g., QuickBooks, Aplos, or ACS Technologies).
- Track and allocate income and expenses to appropriate budget line items and designated funds.
- Prepare monthly financial reports (budget vs. actual, balance sheet, income statement) for the Finance Committee, Trustees, and Pastor.
- Assist in the preparation of the annual church budget in coordination with the Finance Committee.
General Administrative Duties
- Manage the membership database.
- Respond promptly to financial inquiries from the Pastor, Treasurer, Finance Committee, and church staff.
- Safeguard confidential financial and donor information at all times.
- Attend Finance Committee meetings as requested
- Complete and submit the annual statistical reports required by the Mountain Sky Conference
- Perform other related duties as assigned.
Qualifications
Required
- High school diploma or equivalent; associate’s degree or coursework in accounting, bookkeeping, or a related field preferred.
- Minimum 2 years of bookkeeping or accounting experience; nonprofit or church accounting experience strongly preferred.
- Proficiency in accounting software (QuickBooks Desktop or Online, Aplos, ACS, or similar).
- Strong working knowledge of Microsoft Excel and/or Google Sheets.
- Demonstrated accuracy in data entry with strong attention to detail.
- Ability to maintain strict confidentiality of financial and personal information.
- Strong organizational skills and ability to manage multiple tasks and meet deadlines independently.
Preferred
- Bachelor’s Degree in a related field.
- Familiarity with designated/restricted fund accounting in a religious or nonprofit context.
Working Conditions
- Works primarily remote.
- Part-time schedule; specific days/hours to be determined with supervisor. Some flexibility required around month-end, year-end, and audit cycles.
- Must successfully pass a background check as required.
