Administrative Support Coordinator
Full-Time | 9:00 a.m. – 6:00 p.m.
Overview
Fayetteville Montessori School seeks a dependable and organized Administrative Support Coordinator to provide essential operational and administrative support across campus. This role is ideal for a highly organized individual who thrives in a dynamic environment, enjoys supporting others, and values the collaborative spirit of a Montessori school community.
The Administrative Support Coordinator plays a key role in maintaining smooth daily operations, managing vendor and billing support, and ensuring compliance and safety systems are well-maintained. This person also serves as the afternoon Admin on Duty, ensuring excellent communication and organization as the campus transitions from school day to afterschool hours.
Primary Responsibilities
Operational & Administrative Support
Support daily operational staffing needs in coordination with leadership team.
Manage billing support, supply orders and deliveries, budget tracking, and inventory systems.
Provide administrative support to the leadership team, including email management, database/tech support, calendar maintenance, Brightwheel sign-ups, and Frontline system use.
Provide peer support and training to administrative assistants and reception staff, helping to build consistency in office procedures, communication practices, and service standards.
Health, Safety & Compliance
Maintain records of emergency drills, accident/incident reports, and safety procedures, ensuring the Head of School and leadership team are fully informed.
Monitor student health and safety compliance and promptly report issues to the leadership team or Head of School.
Support communication during emergency response protocols and inclement weather policies, assisting with notifications and documentation as directed.
Afterschool & Campus Closing Responsibilities
Serve as the Admin on Duty during afterschool hours (3:00–6:00 p.m.), ensuring the leadership team is informed of any relevant incidents or updates.
Act as the primary administrative point of contact for campus closing each day, including:
Securing all buildings.
Overseeing staff on duty after the traditional school day.
Assisting with late student supervision, family contact, and communication to billing for late fees.
Other Duties
Carry out additional responsibilities as assigned by the Head of School or Founder.
