Position Summary
The Shipping and Receiving Coordinator is employed by ID3 and is responsible for coordinating and executing inbound and outbound shipping activities in support of ID3 operations and Exploring, LLC and its affiliated companies. This role supports a multi-company, multi-warehouse environment and requires a strong understanding of logistics, inventory coordination, documentation, and cross-functional communication.
The Shipping and Receiving Coordinator works closely with project managers, shop leads, and operations leadership across the Exploring organization to ensure materials are received, stored, transferred, and shipped accurately, safely, and on schedule. This is a hands-on, operational role that supports company-wide logistics needs while remaining aligned with ID3’s operational structure.
Overall Goals
- Coordinate shipping and receiving activities for ID3 and support logistics needs across Exploring companies.
- Ensure accurate documentation, packaging, and timely movement of materials between warehouses, job sites, and vendors.
- Support inventory accuracy and material traceability across multiple locations.
- Minimize shipping errors, delays, and logistical issues.
- Maintain strong communication with project managers, shop leads, and operations teams across the organization.
- Promote safe, compliant, and efficient warehouse and shipping operations.
Key Responsibilities & Duties
- Coordinate inbound and outbound shipments for ID3 facilities and, as needed, other Exploring companies.
- Receive, inspect, and document incoming materials for accuracy, damage, or shortages.
- Prepare materials for shipment, including packaging, labeling, and staging.
- Create and manage Bills of Lading (BOLs), shipping manifests, delivery confirmations, and damage reports.
- Upload and maintain shipping documentation, photos, and records in GBMS.
- Coordinate material transfers between multiple warehouses and operational sites.
- Notify project managers, shop leads, and department leaders of received or shipped materials.
- Review shipping notices, purchase orders, and schedules to prioritize shipments and meet deadlines.
- Assist with inventory tracking, reconciliation, and warehouse counts across supported locations.
- Work with freight carriers, logistics vendors, and transportation partners.
- Physically load and unload trucks as required.
- Maintain clean, organized, and safe shipping and staging areas.
- Identify opportunities to improve shipping efficiency, accuracy, and cost control.
- Ensure adherence to OSHA safety standards and company policies.
- Support audits, inspections, and compliance reviews related to shipping, logistics, and inventory.

Knowledge & Experience
- High school diploma or equivalent required.

- Working knowledge of freight documentation and shipping procedures.
- Experience supporting multiple warehouses or business units preferred.
- Basic computer skills (email, spreadsheets, internal systems).
- Experience with GBMS or similar systems preferred.
- Forklift certification required or ability to obtain within a designated timeframe.
Physical Requirements
- Ability to move throughout warehouse and production environments.
- Regular use of computers, phones, and warehouse equipment.
- Occasional lifting of 50 lbs may be required.
- Ability to load and unload trucks safely.
- Manual dexterity to operate standard office and warehouse equipment.
- Vision and hearing (correctable) sufficient for inspection, communication, and documentation.
