This key role will oversee the facilities strategy, maintenance programs, capital projects, and asset management across all retail locations, support facilities, and infrastructure, ensuring safety, reliability, cost efficiency, regulatory compliance, and alignment with family-owned values.
Position Summary
The Director of Facilities & Maintenance reports directly to senior leadership (such as the CEO or COO) and is responsible for developing and executing comprehensive facilities and maintenance strategies to support operational uptime, risk mitigation, and long-term asset performance across a multi-state, multi-site portfolio of convenience stores, fuel sites, car washes, quick lube centers, restaurants, and related assets. This position demands a hands-on leader with strong multi-site facilities management experience, preferably in retail, convenience store, fuel retail, automotive services, or similar distributed operations.
Key Responsibilities
- Provide executive oversight of facilities and maintenance operations for 100 locations and support facilities across multiple states, ensuring consistent execution of preventive maintenance, repairs, safety standards, and brand presentation.
- Develop and implement facilities strategies to optimize asset performance, reduce downtime, control capital and operating expenses, extend asset life, and support revenue growth through reliable infrastructure.
- Lead, mentor, and develop a team of facilities managers, maintenance supervisors, technicians, and third-party vendors/contractors; foster a high-performance culture focused on safety, accountability, proactive maintenance, and teamwork.
- Oversee key performance metrics including maintenance costs, work order completion rates, preventive maintenance compliance, energy usage, equipment uptime, facility condition scores, and regulatory compliance.
- Manage preventive and corrective maintenance programs for building systems (HVAC, plumbing, electrical, roofing), fuel dispensing equipment, car wash systems, quick lube equipment, refrigeration, signage, parking lots, and related infrastructure.
- Collaborate with departments such as Operations, Construction, Procurement/Supply Chain, HR, IT, Marketing, and Finance to align facilities initiatives with company goals, including new builds, remodels, and acquisitions.
- Drive continuous improvement initiatives, including energy efficiency programs, sustainability efforts, vendor management, technology adoption (e.g., CMMS/work order systems, predictive maintenance tools, energy monitoring), and process optimization for multi-site execution.
- Ensure full compliance with federal, state, and local regulations (e.g., OSHA, EPA fuel/environmental standards, building codes, fire safety, ADA accessibility, hazardous materials handling).
- Support new location openings, acquisitions, remodels, and expansions by coordinating site preparation, facility readiness, contractor oversight, and seamless integration of maintenance programs.
- Monitor industry trends, competitive facility standards in convenience/fuel retail, economic factors in the Permian Basin and beyond, and emerging technologies to inform strategic decisions.
- Prepare regular facilities reports, capital expenditure forecasts, budget analyses, ROI evaluations for projects, and presentations for executive leadership and ownership.
- Bachelor's degree in Facilities Management, Engineering, Business Administration, Construction Management, or a related field; advanced degree or certifications (e.g., CFM, FMP, CEM) preferred.
- 10 years of progressive facilities/maintenance leadership experience, with at least 5 years in a senior multi-site role overseeing retail, convenience stores, fuel stations, automotive services, or similar distributed facilities.
- Proven track record managing facilities at scale (e.g., 50 locations or equivalent) in a retail/service environment with fuel, car wash, or quick-service components.
- Strong experience in multi-site retail facilities management, fuel site maintenance, preventive programs, or related industries highly preferred.
- Demonstrated success in driving cost savings, reducing downtime, implementing preventive maintenance, managing capital projects, team development, and safety/compliance excellence.
- Strong financial acumen with experience developing and managing facilities budgets, capital planning, and P&L impact at a regional or divisional level.
- Excellent leadership, communication, and interpersonal skills; ability to influence and collaborate at all levels, including with vendors, contractors, and regulatory bodies.
- Proficiency with facilities management systems (CMMS), data analytics tools, energy management software, and Microsoft Office suite.
- Willingness to travel regularly (up to 50%) to locations and facilities across the operating footprint.
- Familiarity with West Texas markets and the energy sector's impact on retail infrastructure demands.
- Experience with fuel dispensing systems, car wash equipment, quick lube operations, environmental compliance for fuel sites, or rapid expansion/acquisitions.
- Knowledge of building systems in retail environments (e.g., HVAC for high-traffic stores, refrigeration for food programs, electrical for signage/fuel pumps).
