This role works closely with assigned attorneys and paralegals to provide administrative and transactional support related to real estate acquisitions, sales, loans, and leasing matters. The ideal candidate is detail-oriented, organized, and experienced in commercial real estate law within a fast-paced law firm environment.
Responsibilities
- Provide administrative and legal support to attorneys and paralegals in the Commercial Real Estate group
- Draft, revise, and proofread correspondence and legal documents related to acquisitions, loans, sales, leases, and organizational documents
- Prepare engagement letters and coordinate execution
- Open new client and matter files, submit conflict checks, and maintain electronic and physical files
- File UCCs with the Secretary of State and maintain critical date tracking
- Save, print, and organize title commitments and exception documents for review
- Prepare and finalize closing binders
- Enter attorney and paralegal time into the accounting system
- Manage incoming and outgoing mail, ensuring accuracy and completeness
- Maintain organized filing systems and support client communications as needed
- 3–5 years of Commercial Real Estate legal secretary experience
- High school diploma or equivalent
- Proficiency in Microsoft Word and Excel
- Strong experience with Foxit Phantom PDF (redlining, document editing, conversions, inserts, deletions, whiteouts)
- Experience with time entry systems; ExactEstate experience preferred
- Familiarity with legal and real estate terminology
- Strong organizational skills with the ability to prioritize and meet deadlines
- Professional communication skills and ability to work both independently and in a team environment
- Ability to work overtime when needed
