Key Responsibilities
- Partner with the Administrator to support and optimize daily facility operations.
- Manage general administrative and secretarial functions to support all departments.
- Provide cross-departmental support and step into temporary or long-term assignments as needed.
- Schedule and coordinate meetings with external agencies, including government entities and third-party payors.
- Build and maintain positive relationships with residents and their families.
- Oversee mail processing and distribution to ensure efficient communication throughout the facility.
- Handle inquiries professionally while adhering to facility policies and confidentiality standards.
- Welcome visitors and ensure they are directed to the appropriate departments.
- Assist with administrative tasks including typing, account management, and report preparation.
- Manage the timely distribution of Personal Needs Allowance (PNA) funds to residents.
- Provide front desk coverage as needed, demonstrating flexibility and strong multitasking abilities.
- Collaborate with Future Care on accounts payable, accounts receivable, and payroll functions.
- Represent the Business Office at Medicare meetings.
- Provide backup support to the Human Resources Department.
- Oversee weekly banking tasks and other essential administrative errands.
- Fluency in Spanish preferred to effectively communicate with residents, families, and staff.
- Strong leadership skills with a proactive mindset and excellent problem-solving abilities.
- Ability to analyze and interpret financial records and reports.
- Proficiency with computers, office software, and standard office equipment.
- Ability to make independent decisions in a fast-paced environment.
