We are seeking an enthusiastic and capable individual to fill the role of Executive Assistant, supporting both executive leadership and customer-facing operations. This role includes direct assistance to the Chief Marketing Officer (CMO) and serves as a key link between internal teams, leadership, and customers. The pay rate is $22-$26, all depending on experience, and the schedule is from 9 AM to 5:30 PM.
Key Responsibilities:
- Provide direct administrative and scheduling support to the Chief Marketing Officer (CMO), including managing tasks, priorities, and appointments
- Efficiently take detailed notes during meetings and ensure follow-up on action items
- Monitor, organize, and respond to email communications professionally and in a timely manner
- Maintain organized and up-to-date calendars for executives using Calendly, scheduling meetings, appointments, and events
- Serve as the primary point of contact for customer inquiries and deliver top-tier customer service
- Create, edit, and manage customer accounts, signatures, invoices, and serial numbers
- Coordinate with the sales team to follow up on leads, collect feedback, and maintain accurate records
- Handle incoming service calls, resolve customer concerns, and schedule service appointments
- Assist in creating and managing email and SMS templates for sales follow-ups and customer communications
- Collaborate with reception to send welcome materials, quality control messages, and promotional content
- Support the marketing department and CMO by creating basic marketing materials and presentations using Canva
- Provide general administrative support, including documentation management, filing, and record organization
- Answer incoming phone calls in a professional and courteous manner
- Assist with booking flights and coordinating travel arrangements
Requirements:
- Excellent written and verbal communication skills
- Strong organizational, multitasking, and time management abilities
- Proficiency in QuickBooks, Microsoft Office Suite, Canva, and Calendly
- Ability to work independently while collaborating effectively with executives and cross-functional teams
- Prior experience supporting executives, customer service, or sales preferred
Pay: $22.00 - $26.00 per hour
