Job Summary
We are currently seeking skilled and team-oriented applicants for the following position: Program Coordinator for the Addiction Studies Program within the School of Social Work.
Under general direction, the Addiction Studies Program Coordinator provides comprehensive administrative, technical, and programmatic support to the Addiction Studies programs. This position serves as a central point of contact for students, faculty, staff, and external partners, coordinating student practicum and internship processes, admissions support, advising, faculty support, special projects, events, and day-to-day program operations. The Program Coordinator works closely with Program Director(s) to ensure smooth implementation, compliance, communication, and student success across all program areas.
In the course of performing the position’s duties, this position will have extensive involvement with students, staff, and the public in carrying out program activities, and will coordinate, schedule, and monitor program activities to determine consistency with goals. Position reports directly to a designee from the College of Professional Programs.

Required Qualifications
- High school Diploma or equivalent and two (2) years of full-time professional experience demonstrating strong computer skills using a variety of software programs, including Microsoft Excel, Word, Outlook, and web-based platforms; experience in website development and maintenance (beyond entry-level work).
- Two (2) years of full-time experience maintaining both manual and electronic records and files.
- Two (2) years of full-time experience handling a high volume of customer service contacts, including:
- Communication with a wide variety of stakeholders (students, applicants, faculty, staff, administrators, practicum and internship sites, community professionals, and external agencies).
- Communication conducted through verbal, phone, email, and written correspondence.
- Demonstrated ability to apply a responsive and flexible approach that is supportive of the needs including universal access of our students, faculty, staff and the public

Program Coordination Activities
- Coordinate student practicum and internship operations, including:
- Maintaining and distributing lists of approved practicum and internship sites.
- Support Program Director in facilitating student placement processes.
- Coordinating and maintaining agency acquisition agreements.
- Track and maintain student enrollment, progression, and program data.
- Provide programmatic support to the Program Director(s), including assistance with program planning, implementation, and ongoing operations.
- Assist students with registration, record changes, and grade-related inquiries.
- Maintain and update the program website, marketing materials, flyers, and announcements.
- Manage program on social media accounts and Canvas pages.
- Coordinate with the Administrative Assistant in the School of Social Work (SSW) to manage and purchase office supplies as needed.
- Support the Program Director in the completion and presentation of reports, special projects, and program updates.
- Organize and facilitate student orientations, informational sessions, workshops, graduation ceremonies, and special events.
Admissions and Recruitment
- Meet with prospective domestic and international students to discuss program options and provide referrals as needed.
- Assist applicants with admissions questions and documentation.
- Attend transfer, recruiting, and outreach events as needed.
- Assist students with admissions, registration, and progression through the program.
- Provide student onboarding, including support in developing initial academic plans in collaboration with Program Director(s).
Advising
- Assist students with application, admission, registration, and progression processes.
- Provide student onboarding and conduct initial student meetings.
- Refer students to appropriate major programs and program-specific advising.
- Assist students in accessing campus services and resources.
Faculty Support
- Facilitate faculty access to classrooms, instructional technology, and systems.
- Facilitate faculty access to Banner, EagleNet, Canvas, and other institutional systems.
Special Projects and Events
- Coordinate special projects and events of major importance to the program.
- Develop and prepare informational and recruitment materials.
- Assist the Program Director in conducting presentations at recruitment, orientation, and informational meetings.
- Attend team meetings and travel periodically to attend meetings and recruiting events.
- Coordinate dissemination of program communications.
- Organize and facilitate events, including agenda preparation, speaker coordination, scheduling, and logistics.
- Maintain and update program web pages.
Program-Related Public & Organizational Contact
- Serve as the primary point of contact for students, faculty, field instructors, and external agencies regarding program policies and procedures.
- Initiate, maintain, and distribute student contact information.
- Act as liaison with faculty, staff, and colleagues at other institutions and agencies.
- Represent the program at public, program, college, and university functions.
- Coordinate program information with other EWU departments and programs.
Technical & Administrative Support
- Provide routine support related to hardware, software, and discipline-specific tools used in Addiction Studies and practicum/internship coordination.
- Assist students with EagleNet, Canvas, and other online systems.
- Provide administrative support to Program Director(s).
- Design and maintain office procedures, policies, and forms.
- Use Banner, EagleNet, Canvas, and related systems to support staff and students.
- Work with the SSW Administrative Assistant to maintain office computers
Other Duties – As Assigned
- Perform general office support functions including mail processing, and correspondence (including confidential information).
- Assist the SSW Administrative Assistant in monitoring and tracking program budgets and inventory and ordering supplies.
