Based in Minneapolis and working remotely, this role coordinates schedules, onboarding, events, purchasing, and facilities workflows across time zones. Success means employees have the tools and support they need, leaders have clear operational visibility, and recurring administrative work is handled before it becomes a problem.
Key Responsibilities
- Own day-to-day office and remote-work operations, including supplies, equipment shipments, vendor coordination, workspace access, and service requests
- Manage administrative workflows in Google Workspace, Slack, Notion, Asana, and Microsoft or Google calendar systems; maintain accurate documentation and operating procedures
- Coordinate onboarding and offboarding logistics with People Operations and IT, including laptop provisioning, access requests, shipping, inventory tracking, and account deactivation
- Plan and execute team meetings, leadership gatherings, employee events, and offsites, managing venues, travel, catering, budgets, agendas, and follow-up
- Process purchasing, invoices, reimbursements, and expense reporting through tools such as Ramp, Brex, Expensify, or equivalent platforms
- Maintain vendor relationships and renewal calendars for workplace services, software subscriptions, office equipment, and employee programs
- Build and maintain operational trackers and reporting for budgets, inventory, open requests, event timelines, and administrative service levels
- 3-6 years of experience in office management, workplace operations, executive assistance, or administrative program coordination in a technology or high-growth environment
- Strong working knowledge of Google Workspace, Slack, Notion, Zoom, project-management tools, and expense or procurement platforms
- Demonstrated ability to manage multiple concurrent priorities, detailed logistics, and time-sensitive deliverables with limited supervision
- Experience coordinating remote or distributed teams across multiple time zones, including travel, events, equipment, and employee communications
- Strong written and verbal communication skills, with sound judgment when handling confidential employee, financial, and vendor information
- Comfort working with budgets, invoices, purchase orders, inventory records, and operational reporting
- Bachelor’s degree in business administration, operations, communications, or a related field, or equivalent practical experience; Bonus: experience with Rippling, Okta, Jira, HRIS or IT asset-management systems, and distributed-company workplace programs
