Key Responsibilities
- Manage complex calendars across multiple time zones using Google Calendar, coordinating leadership meetings, customer calls, interviews, and strategic planning sessions
- Coordinate domestic and international travel, including itineraries, accommodations, visas, ground transportation, and last-minute changes
- Prepare meeting agendas, briefing documents, decision logs, and follow-up trackers in Google Docs, Notion, or Confluence
- Monitor executive inboxes and communications, draft routine correspondence, and route requests through Slack, email, and project-management tools
- Plan leadership offsites, board meetings, team events, and quarterly planning sessions from vendor selection through final logistics
- Own expense reporting, procurement requests, invoice coordination, and administrative records using systems such as Ramp, Coupa, or equivalent platforms
- Build and improve repeatable workflows for scheduling, approvals, onboarding, and executive reporting while maintaining strict confidentiality
- 3-6 years of experience as an executive assistant, senior administrative partner, operations coordinator, or similar role supporting senior leaders
- Demonstrated experience managing high-volume calendars, complex travel, and competing priorities in a technology or similarly fast-paced environment
- Advanced proficiency with Google Workspace, Slack, Zoom, Microsoft Office, and calendar-management tools
- Strong project coordination skills, including the ability to track dependencies, follow up on action items, and deliver time-sensitive work independently
- Exceptional written communication, judgment, organization, and attention to detail when handling confidential business and personnel information
- Bachelor's degree in business administration, communications, operations, or a related field, or equivalent professional experience
- Bonus: Experience supporting engineering or product leadership, coordinating board or investor meetings, working with tools such as Notion, Asana, Jira, Ramp, or Concur, and operating effectively in a fully remote environment
