Job Summary:
Livingston Health and Rehabilitation Center is seeking a detail-oriented and dependable HR Assistant / Receptionist / Office Support to support our business office operations. This role blends accounts payable, payroll processing, and HR administrative support to ensure smooth day-to-day facility operations. The ideal candidate is organized, proactive, and comfortable handling multiple priorities in a fast-paced healthcare environment.
Essential Functions:
- Maintain all current and terminated employee personnel and health files
- Process new hires, terminations, wage changes, and employee status updates
- Assist with accounts payable functions, including invoice processing and tracking
- Process payroll twice monthly, audit timecards, and print/distribute checks
- Coordinate with VSO Payroll and HR departments to ensure accuracy and compliance
- Notify managers of upcoming evaluations and distribute necessary documentation
- Process background checks and onboarding documentation in a timely manner
- Assist with benefits administration including insurance, 401(k), and leaves of absence
- Track and report workplace injuries and maintain required documentation
- Complete daily census and labor reports and submit to VSO
- Train employees on time clock usage and manage timekeeping system enrollment
- Provide department heads with pre-payroll reports and make necessary corrections
- Provide general administrative and office support as needed
Qualifications:
- High School diploma or equivalent required
- Previous office experience required; payroll or A/P experience strongly preferred
- Experience in healthcare or skilled nursing environment is a plus
- Strong attention to detail, organization, and confidentiality
- Proficiency with payroll systems and Microsoft Office preferred
