Summary

The Project Analyst supports Operations in a fast‑paced, 24/7 operating environment by providing project analysis, performance tracking, and dispatch planning support. This role focuses on real‑time coordination of personnel and equipment, schedule and cost tracking, and operational reporting to support high‑tempo execution. The Project Analyst partners closely with Operations, Dispatch, Project Management, Engineering, HSE, Procurement, and Finance to ensure resources are aligned with operational priorities and projects are executed efficiently and safely.

Primary Essential Duties And Responsibilities

Essential duties may vary according to region, division, area, and/or assignment. Other duties may be assigned.

Project Analysis & Performance Tracking

  • Track project schedules, milestones, budgets, and resource utilization across active projects and operations.
  • Monitor execution performance, including schedule adherence, cost variance, and resource efficiency.
  • Identify execution risks, constraints, and performance trends; communicate findings to operations and leadership.
  • Support forecasting, workload planning, and operational capacity analysis.

Dispatch Planning & Operational Support

  • Support daily and real‑time dispatch planning for personnel, equipment, and resources across multiple jobs and sites.
  • Coordinate closely with Operations and Dispatch to align staffing, equipment availability, and job priorities.
  • Monitor field execution and respond to changing conditions, urgent mobilizations, schedule shifts, and unplanned events.
  • Provide operational support during after‑hours, weekend, and on‑call periods as required.
  • Support incident response, critical operational needs, and time‑sensitive decision‑making.

Project Controls & Documentation

  • Maintain accurate project and dispatch documentation, including schedules, resource plans, cost trackers, change logs, and risk registers.
  • Ensure data accuracy and consistency across project tracking tools, ERP systems, and dispatch software.
  • Support change management by tracking scope, schedule, cost, and resource impacts.
  • Assist with developing and maintaining standardized project controls and dispatch planning tools.

Reporting & Communication

  • Prepare operational reports, dashboards, and executive‑level summaries using Excel and PowerPoint.
  • Communicate project status, execution risks, and resource constraints clearly and in real time.
  • Support daily operations calls, planning meetings, and post‑execution debriefs.

Cross‑Functional Coordination

  • Work closely with Project Managers, Operations, Dispatch, Engineering, HSE, Procurement, and Finance.
  • Support onboarding and training related to project controls, dispatch workflows, and reporting standards.

Continuous Improvement

  • Identify opportunities to improve dispatch efficiency, project visibility, and execution workflows.
  • Support lessons‑learned reviews and continuous improvement initiatives.
  • Assist with evaluating new tools, systems, and processes to enhance project and dispatch performance.

Additional Duties And Responsibilities

  • Adhere to all company policies, procedures, and business ethics codes.
  • Maintain a working understanding of industrial and refinery operational environments.
  • Support safety initiatives by ensuring project and dispatch planning align with HSE requirements.
  • Assist with audits, reviews, and internal assessments related to project and operational performance.
  • Maintain availability for a 24/7 operating environment, including nights, weekends, and holidays as required.
  • Support high operational tempo periods, including outages, surge work, and urgent customer needs.
  • Travel up to 5% of the time as business needs require.

Education And/Or Experience

  • 3 years of experience in project controls, operations support, dispatch coordination, or a similar role.
  • Experience working in industrial, refinery, or regulated environments preferred.
  • Experience supporting real‑time operations or dispatch functions is strongly preferred.

Additional Training

Company‑specific and customer safety training is required.

Additional Knowledge, Skills, And Abilities

  • Advanced proficiency in Microsoft Excel, including complex formulas, pivot tables, data analysis, and dashboard creation.
  • Strong proficiency in Microsoft PowerPoint, with the ability to build clear operational and executive‑level presentations.
  • Experience working within ERP systems (e.g., SAP, Oracle, NetSuite, or similar) for project tracking, cost control, and resource planning.
  • Hands‑on experience with dispatch, scheduling, or workforce management software.
  • Strong analytical and problem‑solving skills in time‑sensitive environments.
  • Ability to manage multiple priorities in a fast‑paced, 24/7, high‑operational‑tempo environment.
  • Clear and effective written and verbal communication skills.
  • Strong attention to detail while maintaining awareness of broader operational impacts.
  • Proficiency with Microsoft Office and comfort working with operational systems and reporting tools.

CERTIFICATES, LICENSES, REGISTRATIONS

Must maintain a valid driver’s license. The candidate or employee must provide his or her motor vehicle record from the state of residency and must be insurable by the Envent Corporation insurance provider. Professional Engineer’s certification is preferred but not required. Project management or analytics certifications (PMP, CAPM, or similar) are preferred but not required.

Physical demands of this position are sitting, walking, climbing, stooping and bending. Project Analyst may on occasion lift and or move up to fifty pounds (50lbs). Project Analyst must be physically fit and pass the company physical in order to be qualified to work in this position.

WORK ENVIRONMENT

The work environment characteristics described here are representative of those a Project Analyst encounters while performing the essential functions of this job. The noise level in the work environment is moderate but can be loud when working in the field.

Work environment is a combination of office and field. The Project Analyst will be exposed to various outdoor weather conditions. He or she will be in industrial plants which will expose them to potentially hazardous situations. You must have all necessary PPE and be prepared to use it as the situation dictates. The Project Analyst can be subjected to extreme heights and moving mechanical parts. While performing the duties of this job, the Project Analyst may work in outside weather conditions and is regularly exposed to fumes or airborne particles and toxic or caustic chemicals common to an active site – appropriate PPE is provided and required.
