ESC has an exciting opportunity for a Recruiting Coordinator to support a fast-paced Corporate Talent Acquisition team in Bolingbrook, IL. This 6-month contract opportunity, is ideal for a highly organized, customer-focused professional who enjoys coordinating interviews, supporting recruiting operations, and delivering an exceptional candidate experience. The Recruiting Coordinator will serve as a key partner to recruiters, hiring managers, candidates, and interview teams by managing interview logistics, maintaining applicant tracking system data, and ensuring recruiting activities move efficiently from start to finish. This role is hybrid, with an onsite schedule of Tuesday-Thursday, every other week (6 days in-office per month).
Responsibilities:
- Coordinate and schedule interviews across multiple departments while ensuring a seamless experience for candidates, recruiters, hiring managers, and interview teams.
- Manage complex interview calendars and resolve scheduling conflicts in a timely and professional manner.
- Maintain accurate and up-to-date candidate records, interview details, and recruiting activity within iCIMS.
- Serve as a primary point of contact for candidates throughout the interview process, providing timely communication and a positive candidate experience.
- Prepare and distribute interview confirmations, agendas, and related interview materials.
- Support Corporate Recruiters with day-to-day recruiting coordination and administrative activities.
- Monitor recruiting workflows to ensure hiring activity progresses efficiently and deadlines are met.
- Assist with recruiting operations, candidate communications, and additional Talent Acquisition initiatives as business needs evolve.
- Partner with recruiters and hiring managers to coordinate interview logistics and maintain recruiting timelines.
- Ensure data accuracy, compliance, and consistency throughout the recruiting process.
- Identify opportunities to improve recruiting coordination processes and scheduling efficiency.
- Support additional Talent Acquisition projects and team priorities as assigned.
Must Have Qualifications:
- 1–3 years of experience in recruiting coordination, interview scheduling, talent acquisition support, HR, or administrative support.
- Experience coordinating interviews in a high-volume, fast-paced environment.
- Experience maintaining applicant tracking systems, preferably iCIMS.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities while maintaining accuracy and professionalism.
- Strong customer service mindset with the ability to build positive relationships with candidates and internal stakeholders.
- Proficiency with Microsoft Outlook, Microsoft Teams, and Microsoft Office applications.
- Ability to work onsite in Bolingbrook, IL six times per month on an every-other-week schedule (Tuesday, Wednesday, and Thursday).
Nice to Have Qualifications:
- Experience supporting a corporate Talent Acquisition or Recruiting team.
- Experience using iCIMS or a similar Applicant Tracking System (ATS).
- Experience scheduling interviews across multiple business functions or time zones.
- Familiarity with recruiting operations, hiring workflows, and candidate lifecycle processes.
- Experience supporting process improvements within Talent Acquisition or HR operations.
