Our client, the U.S.’s largest commercial real estate services firm, has an exciting opportunity for a Lease Administration Specialist to support a global data center portfolio in San Jose, CA. This hybrid contract-to-hire role is ideal for a detail-oriented commercial real estate professional with experience in lease administration, invoice review, financial operations, and vendor compliance management. Schedule is Monday–Friday, 9:00am–6:00pm, with onsite work Tuesday–Thursday.
Job Description:
• Support lease administration and asset management activities for a large global portfolio of data center assets
• Review invoices, purchase orders, and lease-related billing to ensure compliance with contractual terms
• Manage the full purchase order lifecycle, including requesting, tracking, monitoring, and allocating funds appropriately
• Serve as the primary point of contact for accounts payable inquiries and resolve billing discrepancies as needed
• Assist asset managers with reviewing vendor contracts, lease agreements, and operational documentation
• Maintain accurate portfolio records and ensure integrity of real estate and financial data
• Track and manage required industry certifications and compliance documentation for service providers
• Generate reports related to vendor compliance, invoice status, and operational metrics for leadership teams
• Collaborate with global teams and support ongoing operational and financial processes across the portfolio
• Utilize spreadsheets, reporting tools, and internal systems to organize and analyze detailed portfolio information
Must Have Qualifications:
• Minimum of 5 years of experience in lease administration, commercial real estate operations, asset management support, or related financial operations
• Experience reviewing commercial real estate invoices, purchase orders, lease agreements, and vendor contracts
• Strong understanding of AP/PO processes, invoice reconciliation, and financial administration
• Advanced spreadsheet and reporting experience using Google Sheets or Microsoft Excel
• Strong organizational skills with exceptional attention to detail
• Excellent written and verbal communication skills
• Ability to work independently and manage multiple priorities in a fast-paced environment
Nice to Have Qualifications:
• Experience supporting commercial real estate portfolios within the data center industry
• Experience with reporting platforms such as Looker Studio or Power BI
• Salesforce experience
• Bachelor’s degree preferred
• Self-starter mindset with the ability to work collaboratively across global teams
