Executive Assistant

Position Overview: The Executive Assistant serves as a strategic partner to senior leadership, providing high-level administrative, organizational, and project coordination support. This role is responsible for managing priorities, coordinating communications, improving processes, and ensuring key initiatives and day-to-day operations are executed efficiently. The ideal candidate is highly organized, proactive, detail-oriented, and thrives in a fast-paced environment where priorities can shift quickly.
Key Responsibilities
- Manage complex calendars, scheduling, travel arrangements, and meeting logistics for senior leadership
- Coordinate agendas, presentations, meeting materials, and follow-up action items
- Develop and improve workflows and administrative processes to increase efficiency and productivity
- Prepare reports, correspondence, and internal communications
- Support leadership meetings, company events, employee initiatives, and special projects
- Track deadlines, action items, and organizational commitments to ensure follow-through
- Facilitate communication and information flow across departments and leadership teams
- Assist with onboarding, training, employee engagement programs, and company communications
- Support talent, culture, and performance management initiatives as needed
- Identify opportunities for process improvement and operational effectiveness
- Handle confidential and sensitive information with professionalism and discretion
- Anticipate leadership needs and proactively resolve issues before they arise
Qualifications
- Experience supporting a CEO, COO, President, Chief of Staff, or other senior executive preferred
- Experience in a fast-paced manufacturing, distribution, industrial, professional services, or similar environment preferred
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication abilities
- Proven ability to manage multiple priorities and deadlines simultaneously
- Process-oriented with a strong focus on follow-through and accountability
