Job Summary:
We are seeking a detail-oriented Escrow Specialist to handle the review and return of security deposits held in Escrow following tenant move-outs and refund holding fees. This role ensures compliance with state and local regulations regarding deposit deductions and timelines. You will work closely with property managers to ensure refunds are completed in a timely. Detailed training will be provided.
Responsibilities:
- Refund tenant holding fee on a daily basis
- Process tenant security deposit refunds after move-out.
- Review move-in/move-out inspections and apply any allowed deductions (damage, cleaning, etc.)
- Communicate with property managers about deposit outcomes as needed.
- Keep accurate records of all refund transactions.
- Issue and track refunds or charges in property management or accounting software.
- Handle tenant billing corrections or adjustments (late fees, credits, etc.).
- File and maintain accurate records of move-out reports and refund documentation (physical and/or digital).
- Prepare and review monthly and daily reports
- Communicate effectively with property management teams regarding deposit status
- Ensure timely processing of deposit returns upon move-out
Requirements:
- Strong attention to detail and organization.
- Good communication and basic math skills.
- Comfortable using email, spreadsheets, and property management software.
- 1–2 years of experience in property management, office administration, or billing (preferred).
- Basic understanding of security deposit laws (or willingness to learn).
