Job Overview:
We are seeking a detail-oriented and highly organized Administrative Assistant – Scheduling to support our Operations team. This role plays a key part in coordinating employee schedules, assisting with staffing processes, managing incoming communications, and supporting the Operations Manager with daily administrative tasks.
The ideal candidate has experience in shift scheduling, administrative support, and Excel-based reporting, and thrives in a fast-paced operational environment.
Key Responsibilities:
Create, manage, and update employee schedules and shift assignments to ensure operational coverage.
Communicate schedule changes and updates with staff in a timely manner.
Answer and route incoming operational and schedulingrelated calls.
Assist with recruiting and onboarding coordination, including scheduling interviews and maintaining candidate records.
Maintain accurate records in Excel spreadsheets and scheduling systems.
Prepare staffing reports, including attendance tracking, open shifts, and hours worked.
Support the Operations Manager with daily administrative and operational coordination tasks.
Help resolve schedule conflicts and lastminute staffing adjustments.
Perform general administrative duties including documentation, filing, and internal communication support.
Minimum Qualifications:
Associate’s or Bachelor’s degree in Business Administration, Human Resources, or related field preferred.
12 years of experience in administrative support, scheduling, workforce coordination, or staffing.
Intermediate Microsoft Excel skills, including pivot tables, VLOOKUP/XLOOKUP, filtering, and data organization.
Experience with scheduling software, workforce management systems, or ATS platforms is a plus.
Ability to manage multiple priorities in a fastpaced operations environment.
