As the Enrollment Specialist, you are the driving force behind our academy's growth, community presence, and family satisfaction. You serve as the primary point of contact for prospective and enrolled families, ensuring a seamless, positive enrollment experience. By balancing exceptional relationship-building with meticulous compliance, you play a vital role in expanding our reach, maintaining full occupancy, and upholding the highest standards of regulatory excellence.
What You'll Do
Recruitment & Growth: Actively present and promote Dream Preparatory Academy programs to prospective families to increase enrollment and support retention strategies established by management.
Admissions Management: Guide families through the entire enrollment lifecycle—from responding promptly to online inquiries to conducting interactive academy tours and managing intake documentation.
Family Partnership: Utilize relationship-based competencies to build trust, foster strong family engagement, and provide ongoing support throughout the student attendance journey.
Scholarship Lifecycle Tracking: Act as the primary tracker for ABC Scholarship voucher validity windows; proactively notify families 30 days prior to expiration to secure renewed documentation and prevent billing disruptions.
Compliance & Audit Readiness: Meticulously maintain confidential child files, ensuring all required SC Department of Social Services (DSS) documents (including Immunization records and DSS Form 2900) are accurate, complete, and fully audit-ready.
Retention Tracking: Monitor student attendance and tardiness records, proactively contacting families to address attendance concerns and support student retention efforts.
Community Ambassador: Represent the academy professionally alongside academy leadership at open houses, company functions, and community engagement activities to build strong community ties.
Daily Operations & Training Schedule
Initial Training Phase (30-Day Part-Time Schedule): 8:00 AM – 2:00PM
During this initial 30-day period, you will undergo comprehensive training to master Brightwheel software, dive deep into SC DSS compliance standards, and align with academy communication protocols.
Full-Time Standard Schedule (Post-Training): 8:00 AM – 5:00 PM
Upon successful training completion, you will transition to full-time hours, managing the daily enrollment pipeline, executing family follow-ups within 14 days of classroom placement, and generating attendance reports.
Requirements
Experience: Demonstrated experience in admissions, customer service, or enrollment management, preferably within an educational or childcare setting.
Software Proficiency: Prior experience managing student information databases—specifically Brightwheel software—is highly preferred.
Compliance Knowledge: Strong familiarity with South Carolina Department of Social Services (SC DSS) child care regulations and enrollment documentation requirements.
Professional Competencies: A proactive self-starter with a growth mindset, exceptional customer service standards, and a passion for building professional relationships with staff and families.
Communication: Elite verbal and written communication skills for delivering prompt, empathetic, and clear notifications regarding academy policies, tuition, and missing documentation.
